Job Title:Program Coordinator 
Position Category: Full-time exempt, 40 hours/week, some nights, and weekends
Salary: $36,000 - $38,000
Pay Period: Twice per month – 15th and 30th 
Medical Reimbursement: 65% of HMO-level plan provided by the organization 
 
Position Details: EATSF is seeking an energetic and organizedProgram Coordinator who has experience in riding instruction, preferably a PATH Certified Therapeutic Riding Instructor, and has a working knowledge of horses, and experience in the supervision, training, and development of volunteers.
 
Scope of Work: 
  • This position is responsible for providing therapeutic riding instruction and equine-assisted services according to PATH standards and EATSF guidelines, with the utmost attention given to safety. 
  • The individual will actively recruit, schedule, follow up and keep records on all volunteers within the EATSF volunteer program. 
  • The individual will lead the training and oversight of all office, special events, and outreach volunteers. 
  • The individual will work in collaboration with the fellow Program Coordinator and EATSF team to ensure that the volunteer team is safe and effective in the delivery of services. 
  • This position can be physically demanding and requires the ability to mount and dismount participants weighing up to 190 pounds, traverse over uneven footing, and work outdoors in all weather.  
  • This position is scheduled for Tuesday through Saturday.
 
Reports to: Program Operations Director (POD)
 
Organizational Relationships:
  • Interacts with the entire staff of EATSF at weekly team meetings and frequent informal interactions.
  • Maintains a highly visible presence at community events to promote volunteer opportunities and the organizational mission.
  • Partner with fellow Program Coordinators on volunteer program needs, and report all metrics and goals to POD.
 
Program Coordinator Job Responsibilities:
 
PROGRAM AND PARTICIPANT SERVICES:
  • Deliver safe and effective equine-assisted services, meeting the needs of program participants.
  • Ensure compliance with PATH International standards and EATSF Standard Operating Procedures, including but not limited to creating lesson plans, completing progress notes, reporting on metrics and other related records for the program
 
VOLUNTEER MANAGEMENT AND SCHEDULING:
  • Manage office, special event, and outreach volunteers, which includes but is not limited to: 
    • Direct oversight of and provide training to office, reception, special event, and outreach volunteers. 
    • Development of office, and marketing projects in partnership with administrative team members and fellow Program Coordinator
    • Develop, promote, and maintain a wide range of volunteer opportunities within the organization. 
    • Lead the recruitment, scheduling, communication, and follow-up of volunteers for all areas of the volunteer program, including but not limited to:
      • Barn 
      • The program, Horse Care, Horse Shows, and Special Olympics 
      • Facilities 
      • Office and Reception 
      • Special Events 
      • Outreach
    • Track and maintain volunteer training progress notes from fellow Program Coordinators.
    • Schedule all necessary training with volunteers and EATSF personnel. 
    • Schedule and develop load-in schedules for corporate or group partners during monthly Days of Service.
    • Partner with fellow Program Coordinator to recruit and develop Team Captain volunteers for each lesson day, for the morning and afternoon shifts. 
    • Lead the development and execution of the Volunteer Committee.
    • Schedule and recruit quarterly First Aid and CPR training opportunities for volunteers and staff.
 
VOLUNTEER RECRUITMENT AND RECOGNITION:
  • Partner with a fellow Program Coordinator to manage the EATSF volunteer team with a focus on the following volunteer areas:
    • Office Volunteers (Reception, Program Services Team, Database/Record Keeping, etc.)
    • Special Event Volunteers
    • Outreach Volunteers
  • Provide ongoing support and guidance to volunteers. 
  • Confer with fellow Program Coordinators and volunteers to resolve grievances and promote cooperation.
  • Execute two annual Volunteer Appreciation and recognition opportunities for volunteers, in partnership with the fellow Program Coordinator
  • Develop and maintain relationships with other volunteer organizations in the area. 
  • Work with university contacts to recruit and onboard interns to assist with program and organizational needs. 
  • Nominate and award the Volunteer of the Month, in partnership with the fellow Program Coordinator.
  • Lead the creation of all volunteer program marketing materials, including but not limited to the EATSF Volunteers Facebook group, the creation of recruitment fliers, and other multimedia as assigned. 
  • Communicate with program team members on volunteer challenges, changes, and success stories.
 
VOLUNTEER ADMINISTRATION AND RECORD KEEPING:
  • Maintain, edit, and distribute the “Daily Schedule” to appropriate parties.
  • Maintain accurate records (service records, background check, and annual volunteer application completion) and provide timely statistical and activity reports on volunteer participation.
  • Log all service hours and Volunteer Applications into a database; update nametags and other volunteer supplies; or manage and train volunteers to assist. 
  • Provide individual service records to volunteers, as needed. 
  • Author written communications such as recommendation letters, instructions, and other media to volunteers, as needed.
  • Distribute annual volunteer program survey and post-training survey.
  • Develop and manage volunteer policies, procedures, and standards of volunteer service, in partnership with the fellow Program Coordinator.
  • Lead the development of the volunteer program budget, including annual t-shirt orders, recognition activities, supplies, and any potential continuing education opportunities, in partnership with the fellow Program Coordinator.
  • All other duties as assigned.

 FUNDRAISING:
  • Assist with the planning and execution of Special Events as a member of the EATSF team.

QUALIFICATIONS:
  • Riding instruction and advanced horse experience are required.
  • PATH Certified Therapeutic Riding Instructor Certification preferred. 
  • BA in Communications, Public Relations, Human Resources, or a similar field.
  • 2 or more years experience in a volunteer coordinator or similar field. 
  • Demonstrated ability to conduct oneself in a calm and professional demeanor when dealing with the public and/or with difficult situations.
  • Detail-oriented and highly organized.
  • Flexible and able to adapt to change.
  • Ability to work collaboratively in a team environment.
  • Excellent written and oral communication skills.
  • Experience in line management and scheduling.
  • Proficient in MS Office, and database management.
  • Being Bilingual (Spanish, ASL, etc.) is a plus.
