SOS Meals on Wheels is a 501-C (3) non-profit committed to providing home delivered meals and a daily check-in for vulnerable seniors in our community. SOS Meals on Wheels produces and delivers 1,900 meals daily for SOS senior clients living in Castro Valley, Hayward, Oakland San Leandro, and San Lorenzo, Fremont, Newark, and Union City As advocates for senior citizens, Our mission as an organization is to foster the independence and dignity of older adults by reducing food insecurity and isolation, with daily nutritious meals, friendly visits, and connection to support services.

Job Overview:

As a Meals on Wheels Program Assistant- Volunteer Services, you will play a crucial role in ensuring the seamless operation of our program, with a primary focus on Volunteer services, database management, and reporting. The ideal candidate will be detail-oriented, possess excellent communication skills, and have a passion for supporting vulnerable populations.

Responsibilities:

• Volunteer Services:
• Serve as an additional point of contact for Meals on Wheels program volunteers addressing inquiries, completing onboarding, and providing assistance with scheduling volunteer shifts.
• Conduct walk-in and scheduled volunteer interviews.
• Conduct orientation for new volunteers, covering best practices, SOS policies & procedures, etc.
• Maintain regular communication with volunteers to ensure an effective and positive experience.
• Conduct quarterly volunteer trainings and in-services
• In coordination with Program Assistant -Client Services, create and provide schedules for student nurses (or staff when students unavailable) for phone and home assessments on a regular basis as mandated by funders.
• Keep all volunteer needs/listings current on SOS website, and with community partners.
• Database Management:
• Maintain a comprehensive and accurate Salesforce Volunteer database and scheduling tool, including demographic information, dietary restrictions, delivery schedules, and other relevant details.
• Keep the volunteer database(s) current with all new volunteers and ongoing updates.
• Regularly update and verify volunteer information to ensure data integrity and compliance with confidentiality standards.
• Generate reports from the database to track program performance metrics relating to volunteers.

Reporting:

• Compile and analyze data to create regular reports for program managers, while also highlighting key performance indicators, client feedback, and areas for improvement.
• Develop and implement strategies to enhance program efficiency and effectiveness based on data-driven insights.
• Prepare reports for external stakeholders, funders, and regulatory agencies to demonstrate the impact and success of the Meals on Wheels program.
• Collaboration:
• Work closely with program coordinators and Program Assistants, and other staff members to ensure a coordinated and efficient workflow.
• Participate in team meetings to provide updates on volunteer department performance, database management, and reporting activities.
• Provide thoughtful on-going input to improve the impact and effectiveness of the program; determining whether current procedures are effective and efficient. Report needed changes to the Program Manager.
• Training and Support:
• Offer assistance to colleagues in resolving database-related issues and provide guidance on effective client service strategies.

Qualifications:

• Excellent computer skills – Microsoft Office, and Salesforce
• Work experience in a relevant field (Marketing, Outreach, Development) or equivalent work experience.
• Skilled in graphic design and PowerPoint.
• Excellent organizational, interpersonal, and communication skills.
• Proficiency in database management and reporting tools.
• Excellent communication and interpersonal skills.
• Ability to determine and spot risk factors regarding seniors and report to office staff as necessary.
• Compassion and empathy for the elderly and individuals facing challenges.

Requirements:

● A reliable, working vehicle as well as applicable insurance, to be able to drive to and from meal delivery locations, and for volunteer outreach events and opportunities.

● Clear criminal background check.

● Must demonstrate written and verbal proficiency in the English language. Additional

proficiency in Cantonese, Mandarin, Farsi, or Spanish is a plus.

● Willingness to serve as a backup driver as needed

Physical Demands:

● Sitting for extended periods of time.

● Viewing a computer screen for extended periods of time.

● Use of fingers/hands for keyboard.

● (Rarely) Helping to lift coolers of meals up to 30 lbs. each.

Working Environment:

● Most work is conducted in an office or field environment.

● Depending on role, may require frequent or occasional driving

Job Type: Full-time

Pay: From $20.00 per hour

Expected hours: No less than 40 per week
