Title:Program Assistant – Receptionist, Human Investment Department
Office Location: CAT main office, St. Helens

Position Supervises: None
Position Reports to: CAT Human Investment Program Manager
Position Coordinates effectively with: CAT Executive Director, HI Program Managers, HI Data Management, County Veteran’s Service Officer, staff of the Human Investment area, as well as our internal and external partner’s/funding agencies.
Salary:Program Assistant I ($14.50 - $24.80/hour)
Hours Worked: 1 FTE position with the majority of work done between 8:30-5:00. There may be occasional evening and weekend requirements for meetings.
Position Summary: This position performs extensive interaction with customers, greeting and referring them to programs and available resources throughout Columbia County. This position will triage phone calls, sort mail, make copies, and schedule appointments. Involves data input for the Human Investment programs, including but not necessarily limited to: Energy Assistance applications into OPUS; Housing Applications into Service Point; Meal Counts, NAPIS forms, OPI, Respite and other Senior Programs into Oregon Access and RTZ. In addition, the position will provide support to the various Human Investment programs as directed. The position requires an extraordinary attention to detail and the ability to multitask.
DUTIES:
1. Serve as a member of the HI team.
2. Provide data input assistance to the intake staff and case managers in the Human Investment program area as needed.
3. Have attention to detail and be able to problem solve.
4. Gather information and follow up on documentation and referrals.
5. Maintain clear, complete call log of all calls coming into the agency. Maintain well-organized and complete case files, paper or electronic, as directed by manager or director.
6. Have working knowledge of department programs and rules associated with said programs.
7. Work with other HI staff to gather education materials for other programs.
8. Field calls for department programs and input data related to call into the appropriate data base.
9. Answer calls, transfer calls, forward messages, greet clients, assisting with editing and proof reading as requested.
10. Participate in all trainings to obtain greater proficiency in serving clients.
11. Maintain and clean Reception Lobby.
12. Receive client and program data from HI Program Managers and Case Mangers/Intake Staff for processing into the various databases.
13. Other duties as assigned by the Executive Director, Human Investment Director, or Program Manager.
QUALIFICATIONS:
Experience and education that prepare the employee to provide program information clearly and completely to clients entering CAT. Applicant must be able to communicate effectively with strong oral and writing skills. Solid technology skills are preferred, especially database and Excel. Must be willing to work effectively as a team member. Must have access to reliable transportation.
