The Program Assistant is responsible for operational and administrative support for all programs. This position requires entering and maintaining accurate information into databases, updating files, processing forms, researching information, managing records, scheduling appointments, providing information to callers and/or visitors, and maintaining knowledge of the Foundation's policies and procedures.

Responsibilities:
- Perform basic office administrative tasks including but not limited to data entry, reporting, and processing mail.
- Processes and maintains a database related to donors, fundraising, volunteers and partners.
- Prepares correspondence, reports, minutes, agendas, memos, forms, directories, resolutions, ordinances, and other documents and communications from drafts, recordings, or verbal instruction for staff as directed.
- Purchase items for programs while keeping track of budgetary expenses.
- Tracks data for organizational grants and metrics.
- Ensure data integrity and accuracy within various software systems, databases, and reports.
- Coordination of program event calendars, high-level meetings, and events
- Taking minutes that accurately reflect decisions and discussions that take place during meetings.
- Provide excellent customer service as the first point of contact for guests. Answer, screen, and direct callers/visitors to the appropriate team member.
- Attendance and onsite planning at high-level meetings and events

- Ability to travel to events, which may occur in the early mornings, evenings, or on weekends.
Educational/Experience Requirements:
- Three years prior administrative, program support or customer service experience.
- Proficient in Microsoft office programs, strong Microsoft Excel knowledge
- Prior project management experience
- High school diploma required.
- Associates degree or higher preferred.
- Prior non-profit experience preferred.
- Experience with data entry using various database systems.
- Strong computer and technical skills
- Must have dependable transportation and ability to travel to events.

Work Environment:
This position works out of our Largo office and in the field, driving to and from community events. Attending occasional night or weekend events will be required.
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
Expected hours: 40 per week
