Reporting to the Director of Indirect Products & Services, the Procurement Specialist will be responsible for handling the day-to-day activities for utility accounts and assisting with procurement activities.
JOB RESPONSIBILITIES
Utility Account Management
- Assist SCI locations with the connection, disconnection or transfer of utilities; gather documents requested by utility company to validate owner such as deed, tax ID, W9 or permit
- Assist SCI locations with the process to submit application and deposit for utility account setup or transfer, if required by utility company
- Run report to identify accounts SCI Locations have setup or disconnected without assistance from SCM department
- Track utility account changes; update utility master sheet with the changes
- Research utility invoice issues and resolve the issue
- Assist locations with split payments for utility accounts
- Conduct account verification to verify if the utility account belongs to SCI
- Research missing utility invoices; call utility company and request copy of missing invoice
Utilities Data Portal Administrator
- Administrator of the utilities data portal system
- Generate the following utility reports: (1) enrollment metrics (2) OCR metrics
- Conduct OCR reconciliation; ensure accuracy of invoices pulled
- Monitor accounts to ensure paperless billing is not enabled
- Conduct data validation which may consists of reviewing accounts in Discovered status and determine if account should be enrolled or unsubscribed
- Assist supplier with Enrollment Maintenance by sending new utility accounts for supplier to enroll; gather requested documentation such as LOA, deed, tax ID, W9, or permit
Procurement Assistant
- Monitor contract expiration in CLM tool and notify Buyers to initiate an RFP
- Ensure contracts are stored properly and contract tracker is updated
- Coordinate procurement activities for acquisitions and divestitures
- Track CPI across all Indirect categories and update CPI tracking sheet
- Assist with special projects as needed
MINIMUM Requirements
Education
- Associates degree in Business or Supply Chain Management.
- A high school diploma with 3 years' experience in business or office management will be considered in lieu of degree.
Experience
- One (1) year experience is account management or procurement.
- Experience with utilities is a plus
Knowledge, Skills and Abilities
- Advanced Excel skills including ability to perform vlookups and create pivot tables, macros and graphs
- Exceptional interpersonal and communication skills, both written and verbal
- Excellent organizational skills and attention to detail
- Thorough understanding of utility accounts
- Strong analytical and problem-solving skills
- Advanced with Microsoft Office Suite
