Position Summary
The Procurement Specialist is crucial in supporting the IT Team and user base at Proliance Surgeons by facilitating purchasing activities. This includes providing essential support for procurement and supply chain management functions. Key functions involve creating, logging, processing, and tracking all IT purchases. Additionally, the position provides support for the Supply Chain as directed. Proactively, the role focuses on identifying opportunities to improve efficiencies within the purchasing department, fostering relationships with vendors, monitoring licensing, collaborating with the finance team, and ensuring timely completion of renewals.
Key Duties and Responsibilities
The key duties and responsibilities of the Procurement Specialist include, but are not limited to:
- Serve as the central point of contact for Proliance Surgeons company-wide IT hardware, software, and license purchases.
- Generate monthly reports for management on warranties and service agreements and ensure timely renewals.
- Assist IT staff with purchasing, licensing, receiving, storing, and disbursing IT systems and components. Maintain purchasing records within the CRM system.
- Manage the process for logging/tracking organization IT purchase requests and ensure delivery to appropriate destinations.
- Perform inventory control by maintaining PC/printer/hardware/licensing databases and updating them accordingly.
- Develop and maintain strong relationships with external vendors to negotiate fair prices for goods and services. Record bids and SOWs received from vendors.
- Work with internal customers by reviewing monthly purchasing reports, ensuring all charges are logged correctly, preparing monthly hardware inventory purchasing details for finance, and providing reports to management as requested.
- Utilize experience with invoicing and accounts payable to collaborate with care centers and ensure proper GL coding.
- Maintain a list of standard hardware & software for end users within the Asset Management tool (Ivanti).
- Coordinate complete asset lifecycle, including storage and documented disposal.
- Reconcile monthly credit card statements.
- Perform other assigned tasks.
- Collaborate with multiple vendors (e.g., HP) to enhance the scope of the MPS printer program.
- Schedule and coordinate recycling pick-up times with vendors for all Proliance care centers.
- Address all purchase requests within 24 hours.
Additional Responsibilities:
- Manage returns, recalls, exchanges, and back orders, communicating them to staff as needed.
- Assist leadership in managing various inventory control projects.
- Partner with Accounts Payableto ensure proper coding, pricing, and prompt payment of approved orders.
- Provide day-to-day accountabilityfor supply inventories, monitoring volumes, flow, and sourcing.
- Anticipate supply needsand communicate potential interruptions to supervisor and customers.
- Monitor all additions, deletions, and changesto main stores.
- Independently make decisionsregarding supply shortages, keeping management informed and making recommendations based on analysis.
- Create and edit department templates,working closely with Supply Chain Management and ensuring all supply needs are satisfied.
- Possess knowledge of regulatory complianceas it relates to medical supplies and equipment.
- Liaise with IT maintenance and Supply Chain Management.
- Partner with all team membersto achieve stated goals.
Education/Experience
- Associate degree at minimum required.
- Four or more years of experience working in a purchasing role required.
- Purchasing background required.
- Healthcare experience preferred.
- Experience working with finance department preferred.
- Ivanti and Avidexchange experience is a plus.
- SharePoint experience preferred.
- IATAM certification and strong Excel proficiency are highly preferred.

May requires working under stressful conditions or working irregular hours.
