Job Title:Personal Assistant to CEO, Sperry Tents Southeast
Reports to: Andrew McCoy, CEO
Job Overview:
We are looking for a detail-oriented and highly organized Personal Assistant to provide comprehensive administrative support to our CEO, Andrew McCoy. The ideal candidate is self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Responsibilities and Duties:
Calendar Management: Manage the CEO's daily, weekly, and monthly calendar, including coordinating appointments, scheduling meetings, and ensuring no overlap of commitments.
Email and Call Management: Monitor and manage the CEO's inbox, drafting responses, flagging urgent emails, and ensuring that all correspondence is handled in a timely manner. Answer incoming calls, manage outgoing calls as necessary, and keep track of call records.
Travel Coordination: Organize and coordinate travel arrangements, including flights, accommodation, transportation, and itineraries.
Meeting Preparation: Prepare materials for meetings, including agendas, pre-reads, and presentations. Attend meetings as required and take minutes.
Document Management: Draft letters, presentations, reports, and other documents as requested by the CEO. Proofread and edit documents for accuracy, grammar, and punctuation.
Expense Reporting: Handle the CEO's expense reports, ensuring all business-related expenses are tracked and reported accurately.
Personal Tasks: Assist with personal tasks as needed, such as running errands, coordinating personal appointments, or planning family events.
Confidentiality: Maintain strict confidentiality of sensitive company information and any other information as required.
Qualifications:
- Minimum of 2-3 years of experience as a Personal Assistant or Executive Assistant, preferably in a fast-paced corporate environment.
- Excellent organizational and time management skills.
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Ability to work independently and as part of a team.
- Discretion and confidentiality are paramount for this role.
- Flexibility to work outside of normal office hours, when necessary.
Working Conditions:
The Personal Assistant will work in an office environment and must be available during normal business hours, with occasional flexibility for early morning, evening, or weekend tasks. Some travel may be required.
