SUMMARY: The Payroll Specialist ensures employees get paid accurately and on time. Furthermore, it ensures the company complies with the payroll tax laws the government regulates. Works closely with the payroll service provider to ensure accuracy in all areas such as payroll, insurance payments, wage garnishments, retirement benefits, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Works alongside department leaders to ensure accuracy of Team Member timecards/timesheets, codes and posts the data accordingly, following up when necessary.
  • Administers all adjustments to payroll including raises, adjustments, deductions, and bonuses from present and prior pay periods, including those from sign-on, incentive, training, and referral programs.
  • Manages involuntary deductions (such as taxes and wage garnishments) as well as voluntary deductions such as health and retirement benefits.
  • Handles all administration of attendance program including monitoring points, administering attendance write-ups, and preparation/distribution of weekly reports to the leadership teams at all applicable facilities.
  • Tracks and executes long term service bonuses for Team Members with milestone anniversaries.
  • Ensures accuracy of W-2's and spearheads the process of distributing all tax documents to Team Members.
  • Processes direct deposits and paycheck/pay stub printing.
  • Reviews the payroll data report provided by the payroll service provider to ensure accuracy before closing it.
  • Manages the allocation of Team Members that work for multiple departments/divisions.
  • Files (or scans into payroll system, when appropriate) all supporting documentation for attendance and payroll in a timely manner.
  • Maintains payroll reports to meet government requirements.
  • Maintains the employee attendance and vacation records and processes weekly attendance bonuses and annual payroll adjustments accordingly.
  • Verifies onboarding information was entered correctly for new hires & maintains user online accounts for each employee.
  • Maintains accurate mobile policy geofencing for payroll system clocking/timekeeping system.
  • Assists other members of Accounting Department upon completion of duties including, but not limited to: AR, AP, Collections, and others, as needed.
  • Exhibits regular and predictable attendance.
  • Assures safe practices are implemented and always followed.
  • Maintains a safe, clean, and orderly work environment.
  • Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES: This position has no direct supervisory responsibilities.

EDUCATION and/or EXPERIENCE:
  • Requires a high school diploma/GED. An Associates degree in Accounting (or relevant degree/experience) is also required.
  • At least three to five years of experience working with payroll is required.
  • Direct experience with federal, state, and local payroll tax laws and regulations is required.
LANGUAGE SKILLS:
  • Has the ability to read, comprehend and write the English language.
  • Possesses exceptional verbal and written communication skills.
