- Act as subject matter expert of the team and oversee and lead payroll processing of over 2,500 exempt and non-exempt employees in the United States and Puerto Rico (with more to come!).
- Complete on-and off-cycle payroll processing activities, for multi-state U.S, accurately, timely, and efficiently in compliance with all federal, state/provincial, local, and regulatory requirements.
- Perform audits on data and system maintenance, including, but not limited to new hire set up, tax forms processing, local taxes, timekeeping input, direct deposit set up, benefits set up, terminations, and garnishments processing.
- Manages oversight of all payroll related tax filings and any related issuance (e.g. quarterly 941’s and annual W-2’s) to ensure these are done timely and accurately, responsible for setting up new accounts with various federal and state agencies as required.
- Acts as a point of contact and source of technical information regarding issues between the Payroll and Workday to resolve problems and/or issues that directly affect payroll output and payroll-related legal and compliance issues.
- Identifies enhancements to the systems supporting payroll and timekeeping processes while working closely with stakeholders in the People Team, Finance, and Business Operations for functional support.
- Leads payroll team by providing guidance, coaching, and mentoring to create a high performing team atmosphere with a focus on accountability, quality, partnership, customer service delivery and satisfying work experience
- Collect and validate employee data, including new hires, terminations, salary changes, and benefits information, to ensure accurate payroll calculations.
- Review and reconcile payroll data, ensuring all deductions, taxes, and contributions are accurately calculated and processed.
- Monitor changes in tax laws, labor regulations, and payroll compliance requirements across various countries, ensuring timely updates to payroll processes.
- Address employee payroll inquiries and resolve issues related to compensation, deductions, and tax withholdings.
- Assist in the implementation and testing of payroll system upgrades and enhancements.
- Conduct periodic audits of payroll records to identify and resolve discrepancies or errors.
- Previous experience with Payroll G/L functions and reconciliations to cash payouts
- Collaborate with cross-functional teams, including Finance, People Team, and Legal, to ensure alignment and compliance with company policies and procedures
- Develop, implement and maintain internal control policies, procedures, and compliance with respect to the payroll process, including, but not limited to pay policies, payroll calendars, payroll checklists, process maps and other procedural documentation.
- Ensure standard operating procedures are followed and maintained, and service level agreements are met by the team (e.g., response times and resolution of tickets).
- Provide internal client support to all areas of the organization including payroll processing, ticket management, issue trend analysis, and project related work.
- Maintain confidential information when required by legal or ethical standards and professionalism to ensure privacy of employee recordsMaintains payroll information by designing systems, directing the collection, calculation, and entering of data
- Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, job titles, and department/ division transfers with assistance from HR
- Pays employees by directing the production and issuance of paychecks or electronic transfers to bank accounts
- Processes/prints reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
- Determines payroll liabilities by reviewing payroll reports
- Provides payroll information by answering questions and requests
- Maintains payroll guidelines by writing and updating policies and procedures in coordination with HR
- Complies with federal, state, and local legal requirements by studying existing and new information and reporting requirements
- Maintains employee confidence and protects payroll operations by keeping information confidential
- Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications
- Contributes to team effort by accomplishing related results as needed
- Perform other duties as assigned
- Bachelor's degree in human resources or finance or experience in related field
- 10 - 12+ years of experience processing payroll.
- Experience processing payroll for exempt and non-exempt employees using Workday and ADP
- Experience with processing payroll volume of over 2,500 employees.
- Strong analytical, critical thinking and problem-solving skills a must.
- 5+ years of managing payroll operations (see above)
- Prior experience managing HRMS projects.
- Planning and organizational skills.
- Knowledge of accounting principles, payroll methods, Department of Labor regulations, federal and state tax regulations and international
- Attention to detail and accuracy; Problem analysis and problem-solving skills.
- Experience with Workday, Zendesk, Netsuite, and ADP
- Must have excellent interpersonal skills and ability to work in a team environment.
- Develop strong working relationships throughout the organization at all levels.
- Be proficient with Microsoft Office applications.
- Understanding of core Payroll business terminology, processes and practices.

- Excellent skills using MS Office, Google Docs and Sheets, Timekeeping and Payroll Processing software, and QuickBooks
