Job description

LifeSource is hiring a Payroll & Benefits Administrator to be responsible for processing team members’ payroll cycles, as well as benefit administrative functions within the Human Resources Team. Payroll processing includes regular bi-weekly, special and supplemental payrolls, ensuring team members are paid in an accurate and timely manner in compliance with federal, state and local legal and regulatory requirements. Benefit administration includes processing employee enrollments and changes; processes weekly and monthly benefit billings and claim funding notifications.

This position requires specialized subject matter expertise in the area of Payroll and benefit administrative functions, such as: ensuring data integrity, maintaining key documents and team member payroll information, collaborating and providing support to the Human Resources team.

As a Payroll & Benefits Administrator, you’ll advance our life-saving work by performing the following job duties:

  • Managing bi-weekly payroll ensuring team members are paid in an accurate and timely manner in compliance with federal, state and local legal and regulatory requirements.
  • Maintaining Timekeeping HRIS system to ensure system/data integrity.
  • Providing Benefit Administration support to the Total Rewards Partner to ensure accurate and timely processing of benefit related changes.
  • Managing payroll projects working cross-functionally within the department and within the organization to drive process improvements.
  • Maintaining accurate general ledger and accounting documentation including monthly accruals, benefit invoices and supporting various audits.

This includes:

  • Compiling, reviewing, reconciliation, auditing, and ensuring appropriate documentation, in partnership with Human Resources, for payroll adjustments, garnishments, benefit deductions, reimbursements, tax records, and other applicable transactions for final calculation of payroll.
  • Ensuring payroll system calculations related to Group term life products, unemployment rates and tax limits are properly calculated and maintained in the system.
  • Transmitting retirement and HSA contributions, EFTPS tax payments, garnishments.
  • Reviewing, submitting and maintaining federal and state payroll tax reports bi-weekly, quarterly and annually, balance accounts and complete tax payments. Review and balance year-end tax and deduction reports to process and mail W-2’s.
  • Ensuring that new hire, status changes and terminations flow properly within the various HRIS systems, to ensure data accuracy and consistency.
  • Maintaining system set up rules related to time codes, time/pay profiles and system access and security.
  • Processing monthly invoices for all benefit vendors and maintain tracking spreadsheet to ensure timely and accurate payments. This includes reconciling the invoice, Benefit enrollment and payroll deductions.
  • Processing daily and weekly claim funding notifications related to FSA and Dental benefits, to provide finance with timely and accurate reconciliation data.
  • Processing COBRA deposits and supporting documentation and ensures alignment with vendor premium statements.
  • Assisting with annual open enrollment process as it relates to system set up, payroll deductions, and audit of employee changes.
  • Providing support to internal teams for audits, including fiscal year end audits, 401k audits, work comp audits and other audits requiring payroll or benefit data.

QUALIFICATIONS

  • Requires a combination of education and experience equivalent to 7 years of accounting, payroll, or similar responsibilities, with a minimum of 3 years of payroll processing focus.
  • Certified Payroll Professional (CPP), Fundamental of Payroll Certification (FPC) , or equivalent designation is preferred.
  • Experience processing payroll in a 24/7 healthcare organization is preferred.
  • Benefit administration experience and/or providing administrative support in a Human Resources role is preferred.
  • Requires proven proficiency with a cloud-based automated payroll software and timekeeping system (HRIS), as well as proficiency with Excel and Word applications and 10-key.
  • Knowledge of multi-state payroll requirements and familiarity with state and local taxing requirements.
  • Proven effective in establishing rapport and working relationships with diverse groups and personalities both remotely, via phone, email and/or in person.
  • Ability to take initiative, establish priorities, problem solve, function independently and in collaboration with a team.
  • Must be organized, detail oriented, and have excellent critical thinking and analytical skills.
  • Strong written and verbal communication, collaboration and public speaking skills are essential.
  • Demonstrated ability to exhibit a high degree of quality and integrity. Honor confidentiality of appropriate information including, but not limited to, personal team member data, organizational operations or work processes, donor and donor family information, contributor details, any financial information and medical or protected health information (PHI) in accordance with HIPAA.
  • Strong working knowledge of Microsoft Office applications.
  • Proven skilled and competent in using technology-based devices and mobile tools such as personal computers and related software, electronic medical record systems, mobile phones, and mobile printing devices.
