A DAY IN THE LIFE OF A PAYROLL ACCOUNTANT
The Payroll Accountant is responsible for the preparation, maintenance and accounting of all payroll records. Other duties include reporting daily bank balances and accounting for all bank activity, establishment of bank accounts according to instructions of management, assist in ordering deposit slips and checks, collection on returned checks and reissuing of lost check s as assigned.
PRINCIPAL ACTIVITIES & RESPONSIBILITIES:- Enter and review time and attendance reports in payroll system for employees at MEDC and related entities including resolving errors with responsible supervisor.
- Transmission of payrolls, reconciliation of payrolls, distribution of checks and direct deposit advices.
- Maintenance of all payroll records including PTO hours accrued and taken, setting up new employees, processing terminated employees and changes that occur from one payroll to the next.
- Preparation of journal entries for entry into the accounting system for salary and hourly wages, payroll taxes, workers' compensation insurance, tips, 401(k) billing and vacation accruals.
- Reconciliation of the payroll liability accounts in the general ledger including accrued payroll, accrued payroll taxes and gratuity liability.
- Reconciliation of other general ledger accounts as assigned.
- Process A/P or A/R accounts as assigned.
- Processing of additions, changes and terminations for the 401(k) plan.
- Preparation of reports to include the wages and hours reports, total hours by employee for assigned areas, etc.
- Preparation of Gaming Commission and Surveillance reports on new, transferred and terminated employees (if applicable).
- Assist managers and supervisors to ensure payroll activities for departments are accurate.
- Reconcile and prepare daily cash reports from bank reports.
- Preparation of adjusting journal entries for interest income and miscellaneous adjustments as assigned.
- Ordering of deposit slips and checks for accounts when requested.
- Revise account signature cards as needed.
- Reissue lost checks, including stopping original check as instructed.
- Year-end preparation of IRS forms 1042-Annual Withheld Tax return for US source of Income of Foreign Person and 8027-Employee's Annual Information Return of Tip Income and Allocated Tips for areas of responsibility as appropriate.
- Other duties as assigned.
QUALIFICATIONS FOR PAYROLL ACCOUNTANT
- High school degree or GED, some college preferred.
- Minimum two (2) years of experience performing all aspects of payroll function.
- Minimum two (2) years of accounting experience or equivalent education.
- Minimum two (2) years of computer experience to include payroll processing, spreadsheet preparation and word processing.
- Working knowledge of federal and state payroll laws and regulations.
- High degree of organizational skills.
- Ability to successfully pass post-offer employment background check.
- Must be a team player with excellent communication and interpersonal skills.
- Ability to handle sensitive information with tact and discretion.
- Must pass drug screen and remain in compliance with drug free workplace policies.
- Ability to work weekends, holidays and evening hours as business demands. Schedule may occasionally demand work hours in excess of a standard workweek. While performing duties of this position, employee is required to stand, walk and/or sit for extended periods, and use hands to finger, handle, or feel objects, tools or controls.
