Summary: The Patient Recruiting & Logistics Coordinator is responsible for overseeing recruitment and facility management, internal reporting to multiple study leads and teams, external client relations, study audits, and administrative activities.
Reporting: The Patient Recruiting & Logistics Coordinator reports to the Managing Director or designated senior staff member.
Duties and Responsibilities:
1. Recruiting:Patient Recruiting & Logistics Coordinator is responsible for all recruiting needs. Recruiting will either involve hiring an external vendor to perform the recruit or conducting an internal search to find qualified participants in Charlotte, NC.
- Help with the transition of our database to a panel management solution
- Maintain the database on a weekly basis
a. If determined that a recruit will be completed using our internal database, the Patient Recruiting & Logistics Coordinator is responsible for the following:
- Conducting initial search of the database for general acceptance criteria
- Create new program specific advertisements and social media posts
- Generate innovative techniques for targeting potential new recruits for specialized programs
- Contacting, screening and scheduling new participants
- Handling incentive payment and study documents related to each program
- Reporting to internal team and external clients with updates of recruit
- Creation and management of a demographic grid/schedule
- Expanding database to include new participants
b. If determined that a recruit will be performed by an external recruiter, responsibilities will include:
- Submitting bid request to external vendors, evaluate and confirm vendor(s)
- Creation and management of a demographic grid/schedule as needed
- Study set up
- Study close out
2. Human Factors MD Lab: The Patient Recruiting & Logistics Coordinator is responsible for managing the Human Factors MD Lab. These responsibilities include but are not limited to:
- Managing all study need requirements
- Ensuring the lab is fully equipped and replenished with study materials
- Arranging hosts for longer than normal study weeks
- Managing external vendor relations
- Carry out all study related tasks as assigned by Senior Technical staff
Qualifications
- Bachelor's Degree, preferably in communication, hospitality, or business management.
- Advanced knowledge of computer applications including Word, Excel, Microsoft 365 and SharePoint.
- PMP certification is an asset.
