Part-time Receptionist responsible for answering and directing phone calls in a friendly, efficient manner. Must be detail oriented to ensure accurate data collection and entering into medical records of patients. Afternoon - evening hours from 4 pm - 7 pm and every other weekend, Saturday and Sundays. Part-time benefits include: IPERS, Life Insurance and Long-Term Disability. PTO and Sick Leave accrual begins first day of employment.

JOB DESCRIPTION
TITLE: Patient Access Clerk / Communications Operator
DEPARTMENT: Business Office
REPORTS TO: Business Office Manager, CFO SUPERVISES: None

General Objective:
Support HCMH mission, vision, and values at all times.
- Collect and enter accurate data in a friendly and efficient manner to begin the process of creating a medical record.
- Answering and directing phone calls in a friendly, efficient manner to the appropriate destination.
- This position can be combined with any other business office functions as necessary for the needs of the department.
SIGNIFICANT DUTIES:
Duties as switchboard operator and receptionist.
- Processes incoming and outgoing telephone calls efficiently, politely, accurately, and as quickly as possible.
- Utilize overhead paging system announcements and codes with clarity and in a calm manner.
- Releases patient information as permitted by hospital policy.
- Greets customers proactively with a smile and arranges for them to be escorted to their destination.
- Accurately process and sort incoming and outgoing mail for the facility, operating a postal meter.
- Duties as cashier.
- Assures that the cash drawer balances are accurate at end of each day.
- Makes change, collects checks, cash payments, processes credit card payments, and issues receipts to customers.
- Prepare daily deposit and reconcile.
- Duties as registration representative.
- Maintains confidentiality regarding patient, employee, and hospital information through personal conduct or referral to appropriate resource.
- Interviews patient or representative to obtain complete and accurate information on the admission record. Obtains identification and supporting documentation for patient ID and name changes
- Obtains signatures on medical and financial documents.
- Scans necessary documents into patient’s chart as applicable.
- Prepares identification wristbands/labels for patient identification.
- Obtains documentation of Medicare questionnaire and receipt of Important Message from Medicare/Champus.
- Distributes registration documents to medical records, ancillary departments, nurses’ stations, and other necessary departments.
- Arranges for escort of patient to room (inpatient) or to appropriate ancillary department (outpatient).
- Enters necessary changes on computer for updated demographic or billing information and status changes if applicable.
- Compiles data for census reports and verifies final census.
- Conducts pre-registration interviews to obtain complete and accurate information and maintains pre-registration file.
- Ensures all patients are registered in a timely manner, prioritizing registrations during periods of high volume.
- Meets goals set by work group and department.
- Uses interpersonal skills effectively to build and maintain cooperative working relationships.
- Works and communicates in a positive, courteous and cooperative manner with all personnel, patients, and their families when providing information and services, seeking assistance and clarification and resolving problems.
- Carries out assignments responsibly, accurately, and efficiently. Takes responsibility for actions.
- Participates in a positive and cooperative manner during office meetings and mandatory in-services and contributes to a team effort.
- Assures a tactful, personable approach in dealing with issues. Demonstrates a willingness and an ability to receive / give constructive feedback.
- Listens effectively, is willing to try and receptive to alternative or new ways of doing things/ideas.
- Assists in training of new employees if necessary.
- Participates, as directed, in the quality improvement process.
- Promotes a positive hospital image to community, patients/visitors, and coworkers.
- Utilizes time and resources in an efficient manner.
- Follows all department, hospital, and saftey policies and procedures.
- Attends all mandatory department or hospital wide meetings.
- Accepts other duties.
- Willingly and carefully completes additional assignments when given within the time limit requested.
- Assist in relieving the switchboard and in times of emergency, breaks, also includes working unscheduled shifts if necessary to ensure adequate coverage of the department.
- Assists the business office or other departments with special projects or assignments as requested.
- Participate in continued education opportunities as requested.
QUALIFICATIONS:
Education:
High school diploma or equivalent required. Medical office experience is preferred.
Experience:
Medical office experience is preferred but will train
Skills:
- Excellent communication, telephone, and customer service skills required.
- Good typing and computer skills required.
- Must speak and read English fluently.
- Medical terminology knowledge is helpful.
