Job Description

Job Overview: The Partnership Coordinator works closely with the Senior Partnership Manager (SPM) to achieve high-quality and compliant programming among partners of the Texas Office for Refugees West (TXOR West) through effective subgrants management and due diligence. The Partnership Coordinator will build strong, sustainable partners, and provide support in TXOR West's efforts to monitor the activities of subawardees to ensure compliance with IRC's Partnership Excellence for Equality and Results System (PEERS) and relevant Codes of Federal Regulations. NOTE: The Partnership Coordinator position is eligible for full remote work therefore candidates from ANY US-based location will be considered. 


Major Responsibilities:

  • Provide administrative support to all partnership processes and TXOR West-related programs.
  • Complete due diligence on partner organizations.
  • Support the SPM in the development, approval, and execution of all TXOR West partnership agreements.
  • Maintain complete and organized electronic partnership files for each partner including filing all appropriate communication and maintaining the SubAward Tracker, assembling all requirements throughout the subaward life cycle (such as scheduled payments, partner results, and special requirements).
  • With the Senior Partnership Manager, co-lead Partnership Project Opening, Review and Closing Meetings, ensuring inputs from program, finance and compliance staff are received and included, meeting minutes taken, filed, and disseminated to Programs Officer and partners. Follow up on the implementation of action points agreed upon during these meetings.
  • Support the SPM in coordinating all monitoring processes, including developing annual monitoring schedules, monitoring tools and templates, communicating monitoring-related information to partners, and facilitating remote and on-site monitoring.
  • Complete timely close out of partnership agreements.  
  • Facilitate systematic partner feedback on TXOR West's management of partnership relationships, including the documentation of, and response to partner feedback.
  • Ensure all partner and agency documents and agreements are uploaded and maintained in OTIS.
  • Identify capacity strengthening needs with partners and coordinate support.
  • Lead monitoring report and Office of Refugee Resettlement report writing efforts with support from the Senior Partnership Manager.
  • Ensure that projects are supervised robustly, following-up on implementation of partnerspecific compliance, programmatic monitoring work plans, procurement plans, budget spending, and more. Advise the Senior Partnership Manager and other relevant staff of any issues and provide timely feedback.
  • In collaboration with relevant IRC staff, coordinate inputs and review of subaward progress for donor reporting and grant review meetings to ensure that donor commitments are met.
  • Collaborate with external partners on working groups as needed. 
  • Other duties as assigned.


Job Requirements:


Education4year college degree in relevant field required. Graduate degree in management, administration or related field desired.


Work Experience12 years of experience with monitoring & evaluation or grants management and compliance desired.


Demonstrated Skills and Competencies:

  • Attentive to detail.
  • Experience with federal, specifically Office of Refugee Resettlement, funding requirements a plus.
  • Proven ability to contribute both independently and as a key team member.
  • Self starter with excellent problemsolving skills combined with the proven ability to multitask, prioritize duties, and manage time effectively.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook); Experience with databases and applications preferred.


Language Skills: Fluency in written and spoken English.


Working Environment:

  • Standard work environment. 
  • Expectation to travel within local Texas community for partner meetings and events. 
  • Oversight of staff in remote field sites. 
  • Expectation to occasionally travel and participate in meetings throughout the West Texas region and/or statewide.


Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget.  Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
