Job Description
The Part-time Human Resource Assistant is responsible for performing a variety of clerical support duties for the Human Resources department. He or she will assist in maintaining the Human Resource database and all employee records and files, complete assigned scanning functions and maintain employee personnel and medical files, and assist with distribution and tracking of training programs/assignments and keep detailed records of compliance. In addition, the Human Resource Assistant will perform general office support functions and assist area personnel as necessary.
Qualifications
- Must be at least 18 years old
- High school diploma or GED required
- Experience or training in real estate preferred
- Intermediate level of knowledge of Microsoft Office programs
- Must be detail oriented with above average interpersonal skills
- Professional appearance, dress, and attitude
- Good communication skills
- Good typing skills
- Able to operate related computer applications and business equipment, including adding machine, typewriter, copy machine, coin and money counting machines, telephone, scanner, and branch capture machine
Responsibilities
- Scans employee documents and ensures that Human Resource files and personnel records are maintained in accordance with legal requirements and D.L. Evans Bank policies and procedures and answers inquiries for authorized personnel in regards to related documents
- Verifies employee information entered into the HRIS system to ensure accuracy
- Sends applicant letters required under the Fair Credit Reporting Act
- Sends required notices and letters under the Bank’s Affirmative Action Plan under the direction of the Vice President Human Resource Manager
- Maintains compliance files for outreach efforts for women, Veterans, minorities, and individuals with disabilities as required under the Bank’s Affirmative Action Plan and ensures that all related Affirmative Action records are accurately scanned, maintained, and destroyed on schedule
- Verifies and cross-checks the payroll audit trail bi-weekly after every payroll
- Completes miscellaneous research, reports, and memos as requested
- Distributes and tracks monthly and quarterly branch training including security, product knowledge, Bank Secrecy Act, and Employee Handbook and scans on an annual basis
- Oversees the Bank’s Continuing Education Program by requesting approval, registering, notifying employees, and tracking all continuing education classes and arranges travel and hotel reservations if necessary
- Maintains new hire orientation supplies such as new hire orientation notebooks, new hire paperwork folders, and orientation mugs
- Receives and screens visitors and telephone calls
- Assists with questions and problems courteously and promptly
- Maintains and updates the monthly performance review report and sends to the Chief Administrative Officer, Vice President Human Resources Manager, and Human Resource Officer
- Sets up new users in the online performance appraisal system, enters changes for existing employees, and assists employees and managers with questions regarding the appraisal software
- Helps other area personnel as required
- Keeps work area and equipment clean, secure, and well maintained
- Completes special projects as assigned
- Maintains the professional reputation of D.L. Evans Bank
- Serves as a representative for D.L. Evans Bank in the community
