Job Description:
We are seeking a friendly, accurate, and structured Front Desk Administrator with strong Customer Service skills to create a warm atmosphere and build long-term relationships with parents. The ideal candidate will be flexible with hours and have strong customer service and administrative skills with 'I can' approach.
Key Responsibilities:
Customer Interaction:
1. Promote new products and events.
2. Handle incoming calls and emails.
3. Assist customers with registration and verify all necessary data.
4. Oversee the check-in process, noting all important details regarding each child.
5. Respond promptly to parent inquiries via the Brightwheel app, text messages, or email.
6. Ensure transparent and precise communication, making sure people receive responses to their inquiries.
7. Prepare email distributions to customers.
8. Follow up with potential customers.
9. Conduct tours of the facility.
10. Provide excellent customer service by addressing guest inquiries and resolving any issues or complaints
Data Maintenance:
1. Maintain CRM system accuracy.
2. Record invoices and payments.
3. Manage bookings.
4. Save receipts
5. Organise data folders
Office Management:
1. Assist teachers in ordering necessary materials.
2. Order necessary supplies for the office and kitchen in a timely manner, and check residuals.
3. Arrange maintenance and repairs as needed.
4. Ensure all regular office payments are processed in a timely manner.
5. Assist with staff scheduling questions.
6. Keep Front Desk and storage areas organised
The successful candidate will also assist management with various tasks, demonstrating a proactive, goal-oriented approach.
Requirements:
- Excellent communication and interpersonal skills
- Previous experience in a customer support or Front Desk role preferred
- Strong organisational and multitasking abilities.
- Excellent phone etiquette and communication skills
- Proficiency in CRM systems and office software (Word, Excel).
- Flexibility with work hours.
- CPR certification is a plus
Current schedule (can be adjusted if needed, all evening shifts may be extended to 8pm in case there are reservations by customers):
Mon 4pm - 6pm
Tue 2pm - 6pm
Wed -
Thu 2pm - 6pm
Fri -
Sat 9am - 6pm
Background check and fingerprinting needs to be performed before commencing the job.
One week paid time off is provided after 1 year of employment.
