Front Office Administrative Assistant
Figment Creative Labs is looking for a full-time Front Desk Administrative Assistant to join our fun and creative team. The Front Desk employee is responsible for general tasks around the office, administrative duties, and multiple responsibilities pertaining to programs, offerings, and schedules. Our ideal candidate is kind, professional, creative, has a passion for working with children and families, and collaborates well with a team.

- ● Mommy & Me Toddler Play Group (not in session over summer)
- ● After-School Enrichment Programs
- ● Home Visits
- ● Art Birthday Parties (weekends only)
- ● Intermittent Workshops
- ● Summer CampsSummary of Job Responsibilities:
- ● Answering phones and checking emails from current and potential clients about offerings, order and waitlist confirmations, how to register and general questions about how we operate
- ● Maintaining cleanliness and organization in the main building (Front Desk area & kitchen); may include occasional the playground
- ● Checking in students as they arrive & greeting families
- ● Using Sawyer software to keep track of program schedules, enrollment,waitlists, Art Party/event bookings, drop-ins, refunds, billing, and more
- ● Initiate team communication and address staff needs
- ● Update website as needed via Wordpress
- ● Update website retail shop as needed via Square Up
- ● Create bi monthly newsletters using MailChimp
- ● Create marketing content on Canva
- ● occasionally assist creative staff (this might include giving breaks orstepping in briefly to help if needed)
- ● Giving tours to families who are new to Figment
- ● Using Google Workspace to maintain company documents and information
- ● Taking occasional photos for class albums, social media, and websiteQualifications Include:
- ● Previous experience in an administrative support role
- ● Experience working with children or in a school setting
- ● Excellent verbal and written communication skills
- ● Pleasant, professional, and warm demeanor
- ● Proven ability to build and maintain effective & cordial relationships with staff, and with new and potential clients
- ● Detail oriented and ability to anticipate needs
- ● Excellent organizational skills
- ● Self-motivated, proactive and able to effectively perform multiple tasks
- ● Tech savvyPreferred Skills:
- ● Knowledge of Sawyer Scheduling Softwarewww.hisawyer.com
- ● Knowledge of Wordpress & Google WorkspaceExperience:
● Administrative support experience: 1 year minimumSchedule:
Full Time - Monday through Friday - 8:30 am - 4:30 pm
Job Types: Full-time, Part-time
Pay: From $23.00 per hour
Expected hours: 40 per week
