The Role
- Program general administrative tasks in support of Community Tennis key initiatives.
- Support projects and tasks for Junior, Collegiate, and Adult programs, events, and initiatives.
- Conference and meeting support - coordinate logistics for small to moderate-sized receptions, and conference meetings including guest list management, site selection, shipping, and receiving
- Provide onsite support at National Campus events; player check-in, prepare and distribute participant packages/bags, organize equipment, and assist in tournament desk operations.
- Coordinate conference calls and meetings, as well as maintenance of follow-up materials.
- Create and edit various documents such as agendas, meeting materials, letters/memos, meeting summaries, requisition forms, monthly reports, dashboard goals, surveys, events calendars, presentations, etc.
- Compile and generate statistical reports on program activities (TC, JTT, JC, Play Tracker, Jr Tournaments, etc.). Maintain accuracy of group databases, distribution lists, and websites.
- Provide digital assistance with virtual meetings, webinars, and training by establishing registration details, backend support/navigation, presentation development, and recording distribution associated with Zoom Meetings and virtual conferences.
- Perform tasks such as scanning documents, making copies, opening/sorting mail,and shipping packages.
- Maintain attendance records for the departments; tracking and reporting.
- Work within Concur to process invoices, check requests, purchase orders, and travel expense reimbursements.
- Gather and catalog various reports, W9s, COI, waivers, legal agreements, etc.
- Make travel arrangements.
- Special projects and duties as assigned by the Managing Director and Project Coordinator.
Who You Are
- Equivalent administrative experience of a minimum of three years.
- A tennis-playing background is helpful.
- Advanced proficiency in Microsoft Suite & G-Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms), Adobe Photoshop, and virtual meeting platforms such as Zoom & GoogleMeet.
- Possess the ability to learn & manipulate new programs and processes.
- Excellent verbal, written, and interpersonal skills.
- Interpersonal & organizational skills - clear, friendly written and verbal communicator with extreme attention to detail.
- This position is designated as "hybrid/flex" in Orlando and may allow remote and on-site work. Any such position must meet the current USTA hybrid/flex requirements, as updated occasionally. Please consult HR for the most current policy
The expected salary for this position is $16.00 hourly rate. This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
