Description
The City of Fishers Parks Department is seeking an Experience Coordinator. This position is responsible for planning, developing, and implementing special events and programs that range in scope and target audience. The emphasis on this role will be community/family events and live entertainment. The Experience Coordinator will work closely with both internal and external stakeholders to provide a world class experience for participants and guests.
Examples of Duties
- Plan, coordinate and lead programs, activities, and special events, as assigned.
- Assist PR/Marketing team in creating a strategic marketing plan for each event (including announcement, social media needs, graphic design, event signage orders and website updates)
- Manage all logistical aspects of programs and events, including applicable permitting, run of show, vendor management, creation of site maps, set-up/tear-down responsibilities, and staff coverage.
- Communicate and coordinate needs and adhere to deadlines with internal departments (Marketing/PR, Public Safety, Public Works, etc.) and outside contractors/agencies.
- Provide onsite management for events; event staff/volunteer supervision, vendor management, alcohol management and conflict resolution.
- Provide exceptional customer service, both internally and externally.
- Supervise seasonal program staff and volunteers.
- Gather feedback and provide post-event evaluations and follow up, including financial assessment of each program or event.
- Pursue and maintain partnership opportunities with local organizations/vendors.
- Coordinate advance hospitality and production for events with live entertainment.
- Perform administrative duties, including, but not limited to; managing program registration and participation, tracking event budgets, purchasing, and keeping equipment and supply inventory updated.
- Perform additional duties as assigned.
Minimum Qualifications
- Bachelor's Degree from an accredited college or university is preferred;
- Minimum of three years of experience in event planning and live entertainment;
- Valid driver's license and ability to be insured to drive a city vehicle;
- Working knowledge of office software (Outlook, Word, Excel, PowerPoint, Adobe, etc.);
- Work is physical in nature, requiring the ability to lift and carry at least 25 lbs.;
- Work requires frequent standing, walking, bending and lifting;
- Working knowledge of registration software preferred;
- Knowledge of principles, practices, and procedures used to coordinate events;
- Strong customer service skills;
- Ability to communicate with a variety of people, verbally and in writing;
- Ability to work under sometimes stressful and/or difficult situations;
- Ability to work on multiple projects at one time;
- Ability to work evenings and weekends required;
- Strong leadership skills and confidence in decision making and clear delegation.

- The event environment can be very loud and will most often occur in an outdoor setting with exposure to the elements.
