Position Summary:

The Coordinator is responsible for the quality delivery and support of activities and Events in the Gaylord Center including workshops, camps, and auditions designed to recruit prospective students as well as support current students and community outreach. Additionally, the Coordinator is the primary School of Dance Staff member responsible for building coordination.
The Coordinator reports to the Executive Director of Dance and Entertainment and the Associate Executive Director. The Coordinator provides planning leadership for recruitment events, auditions, interviews, workshops, and campus events. This role also works closely with students, staff and faculty within the School of Dance and Entertainment.

Minimum Qualifications:

  • A minimum of two years of direct experience in recruitment, and/or event planning and management is required.
  • A suitable combination of education and experience may be considered in lieu of minimum requirements.

Preferred Qualifications:

  • Experience with the stage environment, theatrical jargon and the logistics of a dance production is desirable.

Recruitment/Workshop/Audition/Interview Coordination:

  • Ensure all prospective students enjoy a positive experience throughout the recruitment phase including admissions and enrollment support, audition and interview coordination, and other activities.
  • Ensure all community constituents including external entities and campers enjoy a positive experience when interacting with internal and external programs utilizing School of Dance and Entertainment resources.
  • Facilitate routine communications with dance and arts management prospects including recruitment mailings and outreach.
  • As supervised by the Dance and Entertainment leadership, execute high school workshops and summer camps as part of "soft" recruiting.
  • Execute dance national auditions and supervise student workers as required for event success with assistance from the Marketing and Operations Specialist
  • Coordinate, track, and report all data related to the student recruitment process ensuring integrity of student information and data collection systems.

Event Support and Facility Coordination

  • Coordinate dance conventions renting the Edith Kinney Gaylord Center if activities are not in conflict with instructional use of the facilities, as part of the "soft" recruiting program.
  • Coordinate contracts with appropriate university offices for rental of the Edith Kinney Gaylord Center for external auditions benefiting Oklahoma City University students in job searches.
  • Lobby decoration and coordination for Dance and Entertainment Productions
  • Supervision of Audience Service Team including merchandising for Dance and Entertainment Productions
  • Supervise and oversee student workers providing event and building support.
  • Supervise student use of the Edith Kinney Gaylord Center.
  • Schedule use of the building.
  • Coordinate building needs with housekeeping and facilities.
  • Coordinate with the Student Services and Operations Specialist as a back-up when needed.

Financial and Administrative Duties

  • Serve as backup for the financial operation of the Ann Lacy School of American Dance and Entertainment within departmental guidelines and in conjunction with school leadership.
  • Assist Deans with special projects, initiatives, and assignments as needed.
  • Coordinate with the Student Services and Operations Specialist as a back-up when needed.

 Other duties as assigned.

Knowledge, Skills and Abilities:

  • Excellent interpersonal skills including the ability to maintain a positive demeanor under pressure.
  • Superior computer skills with specific knowledge and experience with MS Word, PowerPoint, Excel, and Outlook.
  • Must be comfortable with technology and flexible with regard to learning new technology unique to the university.
  • Superior organizational, oral, and written communication skills and the ability to work productively under pressure.
  • Must be able to work independently and be self-motivated while still being able to accept supervision and work well in a team environment.
  • Excellent attention to detail and ability to set/keep timelines for accomplishing goals.
  • Ability to handle confidential information with tact and discretion.
  • Ability to maintain excellent attendance and varied work hours.
  • Ability to quickly acquire knowledge of dance and arts management including programming and terminology.
  • Ability to quickly acquire knowledge of the dance and entertainment degrees to accurately communicate with prospective students.
  • Knowledge of the performing arts audition, rehearsal, and show processes; and Event production
  • Ability and willingness to open, close and secure the Gaylord Center day or night as necessary, without presence or assistance of others.
  • Strong knowledge of digital recording technology, web pages, and social media.

Physical Demands and Working Conditions:

  • Loud noise from sound systems; loud noise from large numbers performing arts majors; high humidity and heat from large numbers of people engaged in vigorous; physical activity; fast moving groups of people in studios and hallways during rehearsals; large numbers of people sitting on floors with book and dance bags; irregular hours including nights and weekends.
  • Standard work hours vary depending on the needs of the Ann Lacy School. Examples of possible shifts include 7:40am-4:30pm, 11:30am-8:30pm, 9am to 6p, and 1:30pm-10:30pm.
  • Usually one evening is required per week during the fall and spring semesters.
  • Evening and weekend hours are required during Dance and Entertainment rehearsals/shows and recruiting events/workshops/camps.
  • Employee must be flexible depending on needs of school.
  • Candidate must have access to home desktop or laptop with high speed internet for remote work as necessary.
