The Human Resources Generalist and Payroll Specialist facilitates recruitment, onboarding, termination, payroll and retirement processes for Stride K12 partner school, Insight School of Oregon Painted Hills staff.

Essential Functions, Other Duties & Responsibilities: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.

Human Resources:

  • Processes all new hires, terminations and leave of absence requests through Insperity Premier Service Center/Team and Operations beginning to end including agreements, equipment, extension.
  • Supports Executive Director in creation and management of yearly employee agreements
  • Supports Executive Director in updating and editing of Employee and Parent Student Handbook on a yearly basis and as needed for updates. Staff handbook agreement tracking.
  • Main POC to deliver/report deposits to the bank. Research situations as needed/requested by Head of School and K12 Finance regarding the school Wells Fargo Bank Account.
  • Oversees Docuware management for employee files.
  • Manages CPR/First Aid Certification.
  • Manages staff ID cards for staff.

School Financial Support:

  • Manages all incoming invoices and employee expense reports for submission to K12 finance team.
    • Process and mail checks received. Research and follow up with employers/vendors as needed.
    • Set up new vendors in systems.
    • Work with new and existing vendors on an on-going basis to ensure timely payment to vendors and employees.
    • Process Internet Stipend for the families/students 2 x per year.
    • Create and submit purchase orders as needed.
    • Manage school Visa card.
  • Manages Internet Stipends for schools.
  • Oversees all order requests.
  • Signs staff up for professional development opportunities and manages staff annual spending allocation.

Payroll Specialist:

  • Processes all payrolls; bi-monthly payroll, stipends for staff. Main POC for staff time and attendance system (Timestar); manage new employee set-up, troubleshooting/help desk tickets filed as needed. Includes manage all PERS for new hires, terminations, submission of PERS reporting to the state (bi-monthly) and K12 finance team, adjustments as needed.

General Office Support:

  • Manages School phone(s)/systems with Zoom and Verizon; including troubleshooting as needed.
  • Creates Zoom accounts for new employees.
  • Manages the school’s general information email address.
  • Maintains accurate addresses, phone and email information in student management system.
  • Understands and effectively uses multiline phone system; answers all incoming calls and forwards appropriately; retrieves all voice mail messages and forwards to appropriate personnel in a timely fashion.

Other:

  • Attends all Virtual School Board meetings to take minutes. Works with Executive Director and Board to submit/review on-going School Board Policy updates for the Board and update Manual with approved policies.
  • Assists Executive Director with requested tasks and administrative team as needed.
  • Supports Executive Director and Operations Manager in preparation for annual audit on all items pertaining to job description and other as assigned. Update K12 (staff and student information) system and/or other type of databases as needed.
  • Facilitates effective communication between families, teachers and the general community.
  • Other duties as assigned.

 Supervisory Responsibilities: This position has no formal supervisory responsibilities.

Minimum Required Qualifications:

  • Bachelor’s degree AND 1-3 years’ experience working in HR and in Office administration OR Equivalent combination of education and experience.

Certificates and Licenses: None required.

Residency Requirement: Must be an Oregon resident

Other Required Qualifications:

  • Ability to manage and maintain sensitive and confidential information
  • Strong written and verbal communication skills
  • Working knowledge of digital/cell phone systems (Zoom or others)
  • Professional experience using MS Excel, MSWord, MSPowerPoint and Outlook
  • Use search engines (Internet) for research projects, requested and necessary tasks
  • Great organizational and time management skills
  • Strong technology skills
  • Detail oriented
  •  Strong written and verbal communication skills
  • Ability to work autonomously and cross functionally

  • This position is office based in Prineville, OR (Main Office).
