Title: OPS Senior Clerk - 64853110

Location: Naples, FL

Fulll Time Position- $20.00 hourly

 

This is detailed administrative work in the Vital Statistics Office and the primary role of the incumbent is to provide customer service in a professional manner when issuing certified copies of birth and death certificates. This position is also responsible for performing cashiering duties, maintaining the security of confidential information and documents, and ensuring that departmental functions are accomplished in accordance with State and local policies and procedures. This is a full-time position, working 40 hours per week Monday-Friday. This position reports directly to the Chief Deputy Registrar (CDR).

 

Your Specific Responsibilities:

Reviews birth and death application requests, processes applications, and issues certified copies of birth or death certificates.  Processing may include but is not limited to entering and reviewing applicant information in the DOH E-Vitals system, physically examining customer primary identification, and filing applicable documents.

Applicants are served in person, by telephone, or by the postal or express mail service. Ensures all Vital Statistics functions are accomplished in accordance with the DOH Policies and Procedures, the CDR Manual and the Vital Statistics Registration Handbook.

Ensures the physical security of the Vital Statistics office and safety paper at all times in conjunction with other Vital Statistics staff. Ensures supervisor, Local Registrar and Business Manager are notified immediately in the event of a security breach.

Provides customer(s) appropriate forms and provides guidance for the correct completion of all relevant forms.

Enters death applications received from funeral homes with prepaid accounts in E-Vitals system. Verifies account balances and charges certified copies to their respective accounts.  Sends reminders to Funeral Homes when account balances are low.

Collects applicable fees and assists in revenue accounting daily with the fiscal office in DOH-Collier Administration.  Prints out the Daily Teller Transaction, Chief Deputy Registrar (CDR) Transaction and Account Summary Recap reports at the end of the day from the E-Vitals system. Balances cash drawer daily at 100% and places funds and change drawer in a locked bag.

Monitors the stock of Vital Statistic forms and safety paper and assures that safety paper is locked and secured at the end of each day.  Accounts for safety paper used daily and verifies all voided safety paper on the safety paper void log.

Performs duties of the Chief Deputy Registrar when the CDR is not available, or if needed on an emergency basis.

 

Required Knowledge, Skills and Abilities:

Knowledge of office procedures and practices.

 Knowledge of Chapter 382, Florida Statutes, and Chapter 65V-1 Florida Administrative Code

Knowledge of basic arithmetic and alphabetizing

Skill in operating office equipment including a personal computer, 10-key adding machine, copier, and fax machine.

Ability to understand and follow instructions accurately

Ability to prepare reports

Ability to review data for accuracy and completeness

Ability to organize and maintain records and files.

Ability to make decisions in a timely manner.

Ability to understand and apply applicable rules, regulations, policies and procedures.

Ability to plan, organize and coordinate work assignments.

Ability to communicate effectively, verbally and in writing

Ability to maintain confidentiality and to foster the same in others

Ability to provide courteous service to all clients, in person and telephoneAbility to establish and maintain effective working relationships with others.

Required:

Lift and carry up to 50 pounds

Emergency Duty: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency.  Emergency duty required of the incumbent includes working in Special Needs or Red Cross Shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural in accordance with Florida Statute 252.42.

High School Diploma or equivalent.

Preferred:

Valid Driver's License

Reliable transportation

Bilingual in Spanish / English or Creole and English
