OPERATIONS/HR MANAGER


Experience Camps, founded in 2009, is a national, no-cost program for grieving children who have experienced the death of a parent, sibling or primary caregiver. Our one-week, overnight summer grief camps, year-round programs, and content help to reframe the experience of grief, and empower kids with the necessary coping skills to move forward with their lives. Through compassion, connection, and play, Experience Camps allows grieving children to embody a life full of hope and possibility.

THE OPPORTUNITY

The Operations/HR Manager will play a crucial role in supporting the seamless functioning of the organization. This position involves a combination of operational, payroll, and HR responsibilities, requiring attention to detail, excellent organizational skills, and a strong understanding of payroll and HR processes. The successful candidate will contribute to the overall efficiency of the organization by ensuring accurate payroll processing, overseeing employee accounts for all online systems, maintaining HR records, and supporting various operational and culture-building tasks.

RESPONSIBILITIES

The following is not intended to be an exhaustive list. Other responstibilities and duties may be assigned:

PAYROLL PROCESSING

  • Collaborate with the finance and program teams to process and manage employee payroll accurately and on time

  • Verify hours worked, PTO and sick time; coordinate and oversee requests for leaves of absence; and address any other relevant payroll tasks as they arise

  • Ensure compliance with local labor laws and company policies regarding payroll

  • Serve as key liaison between Experience Camps staff and payroll and benefits company (ADP Totalsource), and continue to strengthen utilization of ADP platform for onboarding, time management, and benefits administration


HUMAN RESOURCES

  • Lead the administrative onboarding process for new employees, including documentation, orientation, and training coordination

  • Maintain and update employee records, ensuring accuracy and confidentiality

  • Manage implementation and ongoing maintenance of new online platform for performance management, employee engagement, and professional development

  • Lead HR functions such as performance reviews, employee relations, and benefits administration

  • Lead the sourcing and planning of staff professional development sessions and manage a calendar of webinars and group discussions

  • Prepare and continue to oversee employment letters and contracts for new employees and promotions



OPERATIONAL SUPPORT

  • Work closely with various departments to understand and address operational needs (e.g., printing and shipping needs from HQ; ordering and transportation of supplies to local events, etc.)

  • Assist team members by monitoring, maintaining, and providing access to online platforms, including Slack, Asana, Zoom, Grasshopper, G-Suite, Canva, and SAP Concur

  • Plan and coordinate logistics for culture-building meetings and events, including annual Board Retreat, HQ Retreats (Spring and Fall), and quarterly Board meetings

  • Serve as meeting scribe for Full-team and Leadership Team meetings


COMPLIANCE

  • Stay informed about changes in labor laws and regulations, ensuring the organization's compliance with relevant employment laws

  • Assist in preparing and maintaining records for audits related to payroll and HR

  • Secure, manage, and track Certificates of Insurance, both requesting from hired vendors and fulfilling requests from host camps, event venues, etc



OFFICE MANAGEMENT

  • Track and maintain inventory of office supplies

  • Manage inventory of in-house storage facility

  • Serve as key liaison between Experience Camps and office property manager

  • Oversee all mail collection and distribution to appropriate parties



EXPECTATIONS, COMPENSATION, AND BENEFITS

  • 40 hours/week with flexible hours to account for occasional calls and meetings in the evenings.

  • Hybrid work is an option, with 2-3 days/week in the Westport, CT office

  • Occasional travel during the year for events and meetings (approx. 6-8), primarily to NYC

  • Availability for on-site travel during the weeks of camp programs

  • Willingness to be a team player and transition seamlessly between areas of program, HR, and operations

  • Annual base salary range: $60,000 - $65,000, commensurate with experience

QUALIFICATIONS

  • Bachelor’s degree and 3-5 years of relevant work experience that aligns with the skills and traits necessary.
  • Skilled at customer service.
  • Strong organizational and project management skills.
  • Tech-savvy, proficient in Google Suite, MS Office, CRM platforms, and other cloud-based management solutions.
  • Prior experience with payroll processing platforms (e.g., ADP) a plus.
  • Excellent verbal & written communication skills; good interpersonal and presentation skills.
