Summary of Position:
The Operations Training Specialist will be responsible for the execution of the company’s educational software support and training initiatives, which encompasses organizing, facilitating, implementing, and providing support for specialized modules in all property management software and web-based applications. Additionally, the Specialist will participate in the development of training materials for new classes, software implementations, facilitating software courses, and support such property management software programs.
Principal Duties and Responsibilities:
  • Design and develop comprehensive training programs (ILT and/or self-paced e-learning) tailored to meet the technical needs of various teams within the organization.
  • Guide and develop learning strategies to support business objectives; strategies may include implementation of new systems, processes, communication planning, and change management.
  • Design and develop training materials, manuals, standard operating procedures, facilitator and participant guides, PowerPoint presentations, quick reference guides, job aids and documentation to support training programs and resources for ongoing learning.
  • Provide subject-matter expertise, strategic planning, instructional design, content authoring and facilitation on new and existing business applications.
  • Collaborate in the design, development, and evaluation of educational programs and events within the company.
  • Facilitate classes to both small and large groups in persona and over the web.
  • Conduct engaging and effective training sessions, workshops, and seminars, both in-person and virtually, ensuring that participants gain an understanding of the subject matter.
  • Lead weekly live training and troubleshooting sessions for on-site users.
  • Provide day-to-day user training for Property Management systems.
  • Stay up to date with Property Management systems releases to ensure training and materials are always up to date. Develop communications to associates as needed to communicate new release items that may impact their usage of the programs.
  • Continue to stay informed about the latest advancements in technology relevant to the industry and incorporate them into training programs to ensure content remains current and relevant.
  • Conduct assessments to identify knowledge gaps and training needs, then develop strategies to address those gaps.
  • Adapt training methods to accommodate needs assessment including varying learning styles and ensure that training programs are accessible to diverse audiences.
  • Administer and maintain the LMS, develop and update existing learning courses according to company needs, and provide LMS support to users experiencing issues.
  • Assist in defining policies, procedures, standards, and control systems for new software.
  • Develop and manage learner assessment instruments, maintaining documentation and curriculums, ensuring associates have acquired the necessary abilities post-training.
  • Measure the effectiveness of learning solutions that have been implemented, identify gaps and opportunities in ongoing curriculums and address gaps with creativity and innovation.
  • Collect and analyze feedback from training sessions to continuously improve and enhance training programs.
  • Evaluate the effectiveness of training initiatives and adjust as needed.
  • Work closely with cross-functional teams and departments, including Human Resources, to understand organizational goals and align training programs with broader business objectives.
  • Assist in developing technical reports, documents, user support, and technical manuals to support systems and software training and prepare detailed functional program specifications for reports, interfaces, and other modules.
Education and Experience Requirements:
  • High School diploma or GED required.
  • Bachelor’s degree in a related field strongly preferred.
  • 3-5 years of experience with property management systems, specifically RealPage, with demonstrated proficiency.
  • Property Management operations experience sufficient to understand the processes, procedures, and daily workflow relative to the use of computer applications and property management systems.
  • Project management experience in organizing, planning, and executing projects from conception through implementation.
  • Prior experience with implementations and user support, with strong troubleshooting skills.
  • E-Learning development experience preferred.
  • Excellent verbal, written, and interpersonal communication and presentation skills, with the ability to provide support to varying levels of knowledge.
  • Ability to grasp new concepts and ideas quickly and adapt processes and techniques to meet business needs.
  • Strong organizational, planning, time management, and project management skills with the ability to manage multiple projects and tasks in a fast-paced and changing environment.
Additional Requirements:
  • Periodic travel within and outside of assigned geographic area may be required to conduct or attend business meetings, software demos, or other events and situations as necessary.
Physical Requirements:
This is primarily a sedentary office position which requires the Operations Support Specialist to have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary.
