$5,000 Hiring Bonus (prorated by FTE)

Overview
The Operations Specialist assists the Operations Manager in managing the day-to-day activities of the agency in collaboration with the Chief Operations Officer (COO). This position helps support the development, design, operation, and improvement of the systems responsible for service delivery to clients as well as completing evaluation and data reporting duties for various fidelity programs, grants, and needs of the agency.
Responsibilities
Audits and reviews existing agency systems to ensure they are being followed and makes suggestions and changes to enhance identified issues.
Develops systems in conjunction with and under the supervision of the Operations Manager and COO to enhance operational effectiveness, emphasizing efficiency of agency resources and high quality services. Provides training, education and follow up to any new system implemented.
Monitors agency metrics to ensure targets are met. Presents data at quality assurance meetings and identifies any problems that need to be addressed with data collection.
Works with other departments to develop agency reports used in monitoring compliance with Oregon Administrative Rules, contracts, and federal laws that the agency adheres to. Then, analyzes reports, validates accuracy, and presents findings to leadership.
Generates reports and pivot tables using Excel or other software.
Works with QA team and managers to follow annual compliance plan to ensure completion and that goals are met.
Raises awareness of system and compliance issues and follows until a resolution is complete. Maintains appropriate records of data and reporting activities and decisions.
Ensures program and client documentation is completed same day and that it meets OARs, along with the agency and billing standards. Works to correct any identified issues timely.
Supports data preparation for analytic efforts under the guidance of Operations Manager and COO by cleaning data to ensure quality and accuracy based on provided guidelines; and consolidating data.
Works with fidelity based programs to ensure they are meeting the necessary regulations. This may include conducting internal fidelity audits and analyzing systems and data to ensure they are set up correctly to meet fidelity goals.
Qualifications
Bachelor’s degree in administration, business, public health or behavioral health field from an accredited college or university.
Master’s degree preferred.
Knowledge and understanding of the Medicaid system.
Understanding of challenges facing those receiving mental health services.
Possess business experience sufficient to meet the demands of the position, and computer proficiency is required. Must have strong computer skills, including MS Excel and MS Word.
Must pass state-required background and DMV checks; Candidate must be able to work independently and flexibly, under general supervision.
