- Responsible for daily administrative functions of division
- Open, close and update opportunities in CRM and create folders in SharePoint
- Set up and maintain job folders and verify all required documentation and records related to the project are on file
- Maintains monthly division activity log and yearly production back log
- Schedule operational activities including travel and accommodations for technicians, as needed
- Manages/attends weekly production backlog meetings and other meetings as requested
- Retrieve customer’s Purchase orders from various portals and/or customer contacts and verify amounts.
- Create both fixed & time and material invoices for customers and submit invoices to customers
- Complete payment applications, exhibits and forms for invoicing customers
- Analyze job cost activities by tracking labor allocation, credit card expenses and project material costs
- Close jobs after invoicing completion or reopen jobs, if needed
- Follow up with customers on overdue invoices for payment
- Assist with the month end revenue accrual and verify profit margins are in line with goals
- Create credit memos and complete credit applications
- Issue/revise Purchase Orders as requested by leadership and employees and verify materials are correct
- Set up vendors/customers and obtain necessary documentation
- Receives and takes ownership of customer inquiries and complaints. Follows up with customers and operations on all open and unresolved customer issues
- Maintains confidentiality of all employee personnel and payroll records and all other pertinent documents and data as necessary

- Minimum 5 years of experience
- Bachelor’s degree in business or related field preferred, or equivalent experience
- Excellent written and oral communications skills
- Proficient with Microsoft Outlook, Word, Excel, PowerPoint, Microsoft Teams
- Able to work remotely or out of RMS office location area with minimal travel
