SUMMARY

The purpose of the Operations Manager position is to provide supervision and support to the Manager on Duty (MOD) positions for the overall management of the program/floors. The Operations Manager ensures compliance and adherence to all Department of Children and Family Services (DCFS), Licensing and Agency standards. The Operations Manager position in critical in ensuring client safety and quality services are delivered.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  1. Follow protocol as it relates to ensuring client safety including the use of de-escalation techniques and adherence to the behavior management / clinical model.
  2. Must maintain certification in Therapeutic Crisis Intervention, unless otherwise specified by the program’s Sr. Vice President.
  3. Ensure that the program is in compliance with all program objectives, policies, procedures, directives and contractual agreements as indicated by supervisors, training personnel and agency policies and procedures.
  4. Maintain overall responsibility for all aspects of care provided to the youth in the program, ensuring all safety protocols are followed through monitoring and supervision of staff and clients.
  5. Assist with the development, implementation and review of all plans for clients according to the principles of the behavior management / clinical model and good social work practice.
  6. Effectively communicate with program staff in regard to client identified service needs.
  7. Ensure incident reports are completed in a timely manner as appropriate.
  8. Ensure all client and program documentation is completed in a timely manner (i.e. shift notes, monitoring logs, etc.).
  9. Maintain petty cash in an organized fashion.
  10. Provide leadership and supervision to assigned staff.
  11. Develop monthly schedules for the MODs and assist the Sr. Vice President with the development of the schedules for the Unit Managers. Acts as a back-up to the Unit Managers for the completion of the monthly schedule for the Youth Support Specialist I and IIs.
  12. Conduct and document routine staff meetings with the MODs, Unit Managers and Youth Support Specialist I and IIs.
  13. Conduct and document milieu observations in order to ensure appropriate application of the model and clients service delivery.
  14. Ensure high quality communication (written and oral) is presented by the staff and program.
  15. Evaluate, identify and respond to, in a timely manner, the training needs of the program. Provide all forms of training, consultation, evaluation, direction and role modeling to staff in order to enhance and develop programming.
  16. Respond to all calls and requests for assistance in a timely and proper manner according to the policies and procedures of the program.
  17. Participate in internal/external committees as needed.
  18. Fully and professionally respond to and implement directives, constructive feedback and advice offered by all supervisory and training personnel, as well as professionally offered feedback from co-workers.
  19. Participate in clinical supervision, Care Coordination meetings and program meetings as required.
  20. Participate in agency and DCFS initiatives as indicated.
  21. Assist the Sr. Vice President, or other members of the program leadership team, with special projects / reports to enhance the services within the Division as requested.
  22. Ensures compliance with agency personnel file.
  23. Complete all Core Curriculum training(s) required for this position.

WORK HOURS

  • Willing to work varying hours based on the need of the program. Hours may include evenings and weekends.
  • Report to work on time and fully prepared to engage in all job responsibilities.
  • If qualified, willing to cover job responsibilities of co-workers or subordinates in the event of an emergency or shortage as assigned by Supervisor.
  • Report to all scheduled work sites on time and fully prepared to engage in all job responsibilities.
  • This position requires 24/7 on call responsibilities.

SUPERVISORY RESPONSIBILITIES
Directly supervises a team of Manager on Duty’s and a Recreation Coordinator. Provides matrix supervision with the Sr. Vice President for the Unit Managers. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; addressing complaints and resolving problems.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION and/or EXPERIENCE
Bachelor’s degree with five years of experience working with children; 3 of which in an institutional, residential group home, or shelter setting. Master’s degree in social work or other human service field is preferred with three years of experience working with children; two of which in an institutional, residential group home, or shelter setting. Two years of previous management experience is preferred.

Current driver’s license
Current auto insurance
The ability to critically think, work well under stress and work well in crisis-oriented situations.
The ability to maintain a high level of confidentiality.
Excellent interpersonal, organizational and customer service skills.
