OPPORTUNITY

Reporting to the Director of Operations, the Operations & Enrollment Manager supports the school leadership team to provide a warm, welcoming and well-organized environment. As one of the first persons that people see when they arrive, the Operations & Enrollment Manager is the face of the school and delivers first-class customer service to families, students, and other visitors.

The Operations & Enrollment Manager also helps to ensure that daily operations run smoothly, assisting the school leadership team with student records, data collection, and maintenance of the school’s data systems, ensure that we operate our schools at full capacity and serve diverse student populations. The ideal candidate has proven leadership experience in a fast-paced environment and is a self-starter with strong attention to detail. In addition, our Operations Manager must be a self-directed problem solver, enjoy being part of a collaborative team, and have a commitment to strengthening the communication between school and community.

ESSENTIAL DUTIES & RESPONSIBILITIES

Create a positive, professional, safe, and welcoming school environment for students and families. Manage daily school operations, business functions, and external relationships that allow faculty and staff to focus on teaching and learning. This role is integral to our school community as a whole. We’re looking for someone with experience improving systems and processes and is able to communicate clearly to many different stakeholders. Problem solvers who value feedback and team work are highly encouraged to apply. The roles and responsibilities listed here represent the current scope of the role within our organization. These responsibilities are likely to change and grow throughout employment. The Operations Manager reports to the Director of Operations.

Responsibilities include:

Relationship Management

● Establish, develop, and maintain trusting relationships with students, families, staff, vendors, and community partners - serves as the primary point of contact for school communications to the school community.

● Supervise Operations Assistant role, provide training and coaching specific to each staffer's individual responsibilities

● Develop and maintain positive relationships with vendors, including custodians, landscaping, and other external partners.

● Develop and create relationships with local nonprofits.

● Maintain relationships with current and prospective families.

● Additional duties as needed

Daily School Operations

● Monitor procedures--such as arrival, breakfast, lunch, and dismissal--to ensure they run smoothly, efficiently, and on-time while also soliciting feedback from other members of community to make improvements

● Create and monitor safety policies and procedures, ensuring all staff understand roles and can act accordingly

● Maintain school aesthetics at a high level based on WNYA standards through close work with the custodian, staff, and students on a daily basis

● Manage food services to ensure on-time meals, availability for field trips, and compliance with federal food regulations, including sanitation standards, student lunch eligibility, and point-of-service tracking

● Implement the logistical procedures to facilitate school events for internal and external participants, including students, staff, and families

● Assist sick children and coordinate basic medical needs of students

● Provide information and training to staff and students on Operations procedures and policies

● Ensure that building aesthetics are met daily Business Functions

● Oversee the receipt and submission of all vendor/contractor payables to ensure accurate and timely payments

● Proactively assess and address facility issues or challenges

● Additional duties as needed

Student Recruitment

● Proactively develop parent and student interest in the school (outreach to feeder schools, etc.)

● Lead and develop relationships with feeder schools

● Provide weekly updates on status of enrollment and recruitment efforts

● Execute recruitment systems to track interest and applications from prospective families.

● Research community events and coordinate involvement from Why Not You Academy faculty and board members.

● Develop marketing materials and other written communication for prospective students and families.

● Lead social media efforts and our presence as a school in the community

● Lead the design of our marketing materials both online and in print

● Execute outreach and personally follow up with prospective families.

● Organize, manage, direct and maintain accountability for parent and student ambassadors to support recruitment.

● Lead and organize tours and student shadow days.

● Plan, prepare and execute school based recruitment events such as open houses.

● Plan, prepare and execute retention initiatives to support students success at Why Not You Academy

● Translate or secure necessary translation for all communications to our prospective students and families.

● Collect and analyze data to determine effectiveness of initiatives and drive toward continuous improvement.

Student Enrollment

● Monitor progress to goal for enrollment targets and collaborate with the school admin team to ensure the school is fully enrolled.

● Collaborate with the Director of Operations and Executive Director to execute lotteries; this includes maintaining basic knowledge of lottery rules in charter contractsπ.

● Collect and analyze recruitment and enrollment data to inform planning and assess activity effectiveness

● Assist families in completing enrollment forms to ensure completion for the first day of school Execute student enrollment data and systems.

● Plan and execute enrollment events such as registration days.

● Support the Operations team in gathering all the registration documents ready for enrollment

● Additional duties as needed

Procurement:

● Processes orders for school, office, and janitorial supplies for teachers and staff.

● Manages relationships with some vendors.

● Additional duties as needed

Student Transportation: ​​

● Oversees all aspects of student transportation including vendor management, arrival and dismissal procedures, and staff duty schedules.​ ​​Coordinates the school’s transportation services to ensure eligible students receive transportation in a safe, reliable, and cost-efficient manner. Maintains accurate transportation records including bus stop locations, route times, and student ridership counts. Ensures that all transportation issues and complaints are documented and parent concerns are resolved as soon as possible. Manages field trip and after-school transportation logistics.

Technology Management:

● ​​Oversees technology hardware inventory, software licenses, and provides technology support. Creates a distribution system for staff and student use. Keeps record of signed staff and student technology agreements.

Student Health and Safety: ​​

● Manages school safety processes including emergency preparation, safety drills, and staff training, ensuring compliance with state and county mandates. Oversees school visitor and volunteer procedure to ensure safety of all students.

QUALIFICATIONS

● Prior School and/or Office or Operations Experience is strongly preferred

● Proficiency in Google Platforms, including Google Drive, Google Sheets, and Google Docs.

● Excellent written and oral communication skills. Spanish or Somali language skills a plus.

● Positive attitude and strong work ethic with an entrepreneurial spirit; willingness to do whatever it takes to meet goals and get the job done.

COMPENSATION

Salary for this position is competitive and commensurate with experience and starts in the range of $54,000 - $56,000 We also offer a comprehensive benefits plan as well as the opportunity to impact a growing, mission-driven organization that is committed to the success of students.
