Job Summary

The Operations Assistant will support the Supply Chain, Logistics, Production, and Order Entry Teams to provide a high level of service to Roxtec internal and external customers. The position reports to the Operations Manager.

Essential Job Functions

• Manage customer order status requests to provide order status, tracking information, and part availability upon request via phone & US Order Status email account
• Daily PO Confirmations from Sweden and local suppliers including ‘New Confirmation’ email and follow up with unconfirmed / late PO lines.
• Drop shipment & air freight quotes for Sales (UPS, FedEx and consolidated air)
• Manage expedite requests for parts sourced from Sweden
• Coding of freight invoices including account & segment
• Daily inventory part exception analysis
• Daily update of new parts (Site 01 Parts to Not Decided)
• Support Supply Chain Manager by classifying Invoices with HTS for weekly air and sea freight shipments
• Receive drop shipments in IFS and invoice daily
• Coordinate requests for sales samples, literature and giveaway items for Sales using SugarCRM & IFS
• Match and file invoices & closed orders
• Backup shop order receipt for Production and Order Entry
• Generate manual pro-forma invoices for sample and misc. shipments as needed
• Maintain and update the company directory (Phone List)
• Backup answer and refer phone calls, email or other inquires to appropriate departments
• Other Order Entry, Logistics or Supply Chain activities as required

• Customer focused with ability to work in high volume, dynamic work environment
• Capable of making independent decisions and working under minimal supervision
• High energy with a positive attitude

Education and Experience

• High school diploma or equivalent
• Minimum of two years’ experience in warehousing, customer service, or other related role
