Operations Assistant (20-25 Hours/Weekly)

As an integral part of the Dove Recovery House for Women team, the Operations Assistant will manage finance reporting, data tracking and support daily and monthly operations.

Position is Part-Time (20-25 hours/week) with the potential for Full-Time.

Reporting and Grant Support:

• Manage grant claim and reporting needs for various funders
• Prepare financial and narrative reports for grant funders
• Assist with grant claim preparation and manage supporting documentation for various grant needs to document expenditures
• Track various grant allocated spending

Operations:

• Coordinate with Directors of Operations of all facilities to ensure staff areas and supplies are fully stocked, ordered timely and accurately so to limit interruption of work
• Support CEO and Chief Officers in coordinating staff meetings, trainings and teambuilding activities
• Track the rental support portion of the program, including creating invoicing, maintaining payment records and communication with staff and clients
• As a member of the FUN Committee, work with team members to ensure staff appreciation efforts are supported and organized
• Respond timely and accurately to requests for assistance/information that may be received via multiple channels including in-person, phone, email, text or teams messages.

Finance:

• Assist with month end preparations for financial tracking
• Manage Accounts Payable (AP) and Accounts Receivable (AR) and collaborate with Controller to ensure systems are streamlined, timely and accurate
• Develop and maintain working relationships with vendors so that billing accuracy and revenue is maximized
• Create and monitor invoices sent out on behalf of the company
