Description:

The function of this position is to provide office coverage; support for the College of Nursing Director, Business Manager (BAA), Faculty, Program Advisor, Students and visitors; conferencing technologies and exam proctoring for the UIC College of Nursing, Urbana Regional Campus. This Civil Service (CS) position holds seniority rights through UIC HR by location (Champaign/Urbana Region) only.
Duties & Responsibilities:

  • Provide mid-level primary clerical support to the UIC College of Nursing Director, Business Manager (BAA), Faculty, Program Advisor, Students, and visitors.
  • Provide Office Support by opening/closing the office, answer phones, make appointments, direct students and visitors.
  • Format, proof, copy, draft, and send correspondences including confidential materials.
  • Coordinate meeting space, conference calls, and teleconferencing.
  • Schedule meetings, update calendars and confirm and trouble-shoot conflicts.
  • Order (via iBuy) and organize supplies, make P-Card/T-Card purchases, make carpool reservations, and process travel reimbursements using Chrome River.
  • Help BAA with annual inventory and student clinical/registration/orientation paperwork.
  • Serve as primary support for faculty. Format, proof, copy, and prepare exams.
  • Proctor exams and return exams to instructors.
  • Document and report facility needs. Distribute US and Campus mail.
  • Develop and design advertisements, presentations, invitations to college events, and other correspondence for the Urbana Regional Campus.
  • Help plan and set up for special events.
  • Assist Lab Coordinator with lab setup and takedown, inventory, ordering supplies, and scheduling.
  • Assist Program Advisor with administrative tasks, filing, maintaining records/databases, and preparation of materials for orientation, information sessions, and open houses.
  • Support distance learning by scheduling, tracking, setting up and trouble-shooting web conferencing.
  • Provide IT support to faculty, staff, and students including troubleshooting system and equipment failures. Using multiple resources, reserve classrooms space within the College and University.
  • Collect and submit textbook orders to the UIUC and UIC Bookstores and provide information to students.
  • Perform other related duties and participate in special projects as assigned.

    Minimum Qualifications Required:

    CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER

    1. High school diploma or equivalent.

    2. Any one or combination totaling two (2) years (24 months) from the categories below:

    A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:

    • 30 semester hours equals one (1) year (12 months)
    • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)
    • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

    B. Work experience performing office/clerical activities, including the use of computer systems.

    3. One (1) year (12 months) of work experience comparable to the second level of this series.
