Description:

Position Summary
This role is responsible for supporting the administrative functions of student affairs services and programs with the College of Applied Health Sciences. Provides a high level of administrative support to the Associate Dean, Assistant Deans, and Directors within the AHS Office of Student Affairs in the following areas: recruitment, admissions, enrollment, advising, registration, records, retention, graduation, etc. Supervises student workers working with the office.
Duties & Responsibilities

 

  • Responds to student and general public inquiries on all matters related to Student Affairs of the College, exercising independent judgment to provide advice regarding various options for action. Utilizing information and feedback from these interactions, recommends and assists in development of new procedures and review of current policies.
  • Provides general office administrative support within the Student Affairs Office including greeting visitors, answering phones, maintaining files, reception services, classroom scheduling, preparing letters and other communications, and recording/distributing meeting minutes for Student Affairs related committees (AHS Student Affairs, All Advisor, Recruitment, and Urban Health Program meetings.)
  • Processes PCard and TCard transactions for Student Affairs events and activities and manage purchases for supplies, recruitment materials and other needs for the Student Affairs and Academic Support and Achievement Program Offices. Tracks expenses and maintains records for financial transactions, including scholarship payments and award distributions.
  • Responsible for general facilities management including opening and closing the office; scheduling shared classroom spaces; ordering supplies and receiving deliveries for office; establishing building and classroom keycard access; setting and following up on service requests (special cleaning plumbing, lighting, heating, repairs, etc.)
  • Delivers, creates, and maintains comprehensive student-related calendars and databases; prepares and submits various reports, survey responses and/or data as needed in the following areas: recruitment, student registration, student records, retention, etc.)
  • Assists with student event and program supply ordering, event preparation, event set up, event promotion including social media announcements in the following areas: recruitment, enrollment, retention, professional development, enrichment, and graduation. This includes managing of orders for student events (food, space reservations, printed materials, promotional materials, social media posts, etc.)
  • Supports administrative functions of Student Affairs team including student support services and processing transactions in the following areas: admissions application maintenance, registration and records documentation, financial assistance and scholarship inquiries, and other records management activities pertaining to students within the College's programs.
  • Perform other related duties and participate in special projects as assigned.

    Qualifications:

    Minimum Qualifications1.High school diploma or equivalent.2.Any one or combination totaling two (2) years (24 months) from the categories below: 1.College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent: 30 semester hours equals one (1) year (12 months) Associate's Degree (60 semester hours) equals eighteen months (18 months) 90 semester hours equals two (2) years (24 months) Bachelor's Degree (120 semester hours) equals three (3) years (36 months)2.Work experience performing office/clerical activities, including the use of computer systems.3.One (1) year (12 months) of work experience comparable to the second level of this series.Preferred Qualifications Preferred work experience in higher education, especially in student services related areas (admissions, records, financial aid, student affairs)   Proficient in Microsoft Office applications (Word, Excel, PowerPoint, etc.)  Proficient in posting announcements to social media
