Please note that this is an on-site role, and remote work arrangements are not available. Candidates must be willing and able to work at our facility during designated working hours.


POSITION SUMMARY

The Office Support position primarily provides assistance to AGM’s Estimator and Sales Manager(s) with estimating duties, as well as with administrative tasks within AGM’s Sales and Contracts Departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists with the pricing estimates for all AGM and Desiccant products, including both AGM’s distributed products, as well as AGM’s manufactured products.
  • Maintains an awareness of AGM’s margins, such that he/she can make pricing judgment calls when AGM’s Estimator or Sales Manager(s) are unavailable.
  • Assists AGM’s Sales Manager(s) with monitoring AGM’s customer delivery and/or quality ratings, which includes compiling such ratings into reports for AGM Upper Management, as well as reaching out to AGM’s customer buyers to have any erroneous ratings corrected.
  • Assists AGM’s Contracts Department with processing any/all surveys from AGM’s customers, which includes basic “new supplier” surveys, as well as more in-depth surveys that may require coordination with other AGM managers for completion.
  • Assists AGM’s Sales Manager(s) with reviewing AGM’s Sales Account Representatives quotes and orders for accuracy before such completed order and quote acknowledgments are sent to AGM’s customers.
  • Other primary responsibilities may include routine clerical office functions, including, but not limited to, filing, scanning and indexing files.
  • May assist in completing requests for quotes or entering orders for AGM’s Sales Department.
  • Completes all tasks accurately and in a timely manner.
  • Keeps work area clean and organized. Reports and/or corrects any unsafe working conditions in a timely manner.
  • Discusses and implements improvements to AGM’s estimating and sales processes, whenever possible, and does so in an effort to improve AGM’s quote and order turnaround times.
  • Communicates in an effective, courteous, and professional manner with other AGM employees, as well as with AGM’s customers and suppliers, in an effort to improve AGM’s processes and relationships with AGM’s customers.
  • Requires excellent communication skills with AGM employees and managers.
  • Assists AGM’s Sales Department and AGM’s Contracts Department with miscellaneous duties as assigned.
  • May be assigned additional duties by his/her supervisor/manager in other areas or departments, as needed.
  • Understands and supports adherence to AGM’s policies and procedures. Follows the appropriate chain-of-command whenever a matter is beyond her/his job responsibilities or skill level.
  • Learns to ensure that all of AGM’s QMS policies, procedures and objectives are both implemented and followed on any tasks that he/she performs, or helps to perform, within AGM’s Sales Department.
  • Maintains a satisfactory attendance and punctuality record.

QUALIFICATIONS

This position requires excellent clerical and customer service skills, excellent voice and telephone skills, very good computer experience and the ability to prioritize several different assignments at the same time. Strong organizational skills are also required. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE

A high school diploma or a general education degree (GED), and a two-year certificate from college or technical school, and at least three years of office-related experience and/or training; or an equivalent combination of education and experience, as determined by AGM’s Management.

LANGUAGE SKILLS

Must be able to speak, read and write excellent English in an effective manner. Must be able to read and understand instructions, correspondence and memos. Must be able to take minutes and write them effectively.

MATHEMATICAL SKILLS

Must have ability to add, sub-tract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Must be able to compute percentages.

REASONING ABILITY

Must have ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to talk, hear, use hands to finger, handle or feel. The employee frequently is required to sit, stand, walk and reach with hands and arms. The employee is occasionally required to stoop, kneel or crouch. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT

While performing the duties of this job, the employee may be working around moving mechanical parts or machines. In addition, the employee is exposed to, and could come in direct contact with, potentially hazardous chemicals or materials. Therefore, the employee must follow proper safety procedures. The noise level in the work environment is usually moderate.



8:00 AM to 5:00 PM, Monday through Friday.
