General Description:
Plays an integral role in Student Success by functioning as Office Manager and Dean's Administrative support.
Duties and Tasks:
- Hire, supervise, train, evaluate and create schedules for staff including P-3, P-14 and student hires for the front desk of the Woodbridge Student Success Center, the Woodbridge campus Information Desk
- Establish work schedules for employees and coverage of Student Services Front Desk, the Woodbridge Campus Information Desk, and the Dean's Administrative Assistant desk
- Manage Dean's Office Administrative Assistant Desk, including division personnel and programs
- Manage Student Services Front Desk, Woodbridge Campus Information Desk, and provide a broad range of administrative support to the Dean of Student Success
- Manage student information gathering, check-in operations for Advising, Counseling, Enrollment Management, and the Dean's Office and ensures that students are seen by support personnel in a timely manner
- Ensure Campus Information Desk staff remain current on all events and activities on the Woodbridge Campus to ensure the campus community and its visitors receive prompt and accurate assistance
- Diagnose student needs for support and directs students to appropriate service points based on student need
- Serve as expert in services provided to students at the Woodbridge Campus, to include all student support services offered on the campus and virtually
- Provide assistance/information to students and visitors on college procedures, academic and testing requirements, and financial aid
- Prioritize own workload and that of subordinate staff to ensure timely completion of projects and smooth, efficient operation of Student Success Center with a traffic flow of 800-2000 persons monthly
- Support SDV course offerings at WO through schedule entry, management of adjunct budget and contracts, support for the adjunct hiring process
Required KSAs:
- Strong organizational and office management skills
- Ability to work proactively with limited supervision
- Knowledge of College and state regulations related to purchasing, generating adjunct contracts and preparing travel documents
- Ability to enter SDV division classes into NOVAConnect, update as necessary
- Mastery of the adjunct hiring, approval and payment process
- Ability to create complex monthly walk-in advising schedule for counselors and GPS advisors as well as front/info desk coverage for intake staff
- Ability to work independently
- Ability to adapt to new technologies
- Must be able to work assigned evenings and weekends
- Significant experience in customer service and communication
- Significant experience in budget tracking and reporting
- Significant experience in MS Word, Excel and PowerPoint
- Significant experience with adjunct hiring, approval and payment process
- Significant experience in an office environment with high volume traffic
- Significant experience in hiring, training, supervising and evaluating support staff.
Additional Considerations:
- Significant experience in word processing and computer applications, including People Soft (SIS), NOVAQ, Image Now and Navigate/Campus
- Significant experience with providing budgetary tracking of divisional funds, with a focus on adjunct and Student Life funding lines
