Job Description
POSITION OVERVIEW:
Responsible for acting as a liaison between clients and the TriCounty Environmental Health Department by conducting a wide range of clerical duties in addition to managing GIS (Geographical Information System) database.
ESSENTIAL FUNCTIONS :
• Keep front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.)
• Answer all incoming calls and/or welcome clients with a friendly demeanor
• Return phone messages and/or direct them to correct department or employee
• Operate a personal computer and word processing/software programs (such as Google Drive, Google Chrome, Gmail, TCHD Website, receipt program, etc.)
• Resolve clients complaints and questions
• Assist clients with procedures, completing forms, applications, etc.
• Be well versed in TriCounty Environmental Health policies and procedures, state rules for each program, county ordinances, and interoffice procedures
• Oversee Environmental Health programs and subprograms to ensure compliance
• Assist Environmental Health Scientists with scheduling, paperwork, etc.
• Process a variety of agency documents and other written communications as required and authorized in conjunction with other assigned tasks using automated computer system
• Process incoming and outgoing mail
• Keep a complete and organized log of inspections
• Issue food handlers cards to the public
• Accept drinking water samples on behalf of the lab
• Perform yearly billing for food establishments, pools/spas, liquid waste operators, body art, tanning and cosmetology permits
• Set-up and manage paper or electronic filing systems, recording information, updating paperwork, maintaining documents, and data entry
• File documents in appropriate files
• Issue invoices and process incoming payments
• Record minutes for Environmental Health Staff meetings
• Open and close office daily
• Must be able to coordinate with surveyors, contractors, water systems, builders, etc. and have knowledge of their individual regulations
• Develop strong working relationships with county officials
• Open and close Environmental Health office daily
• Performs other duties as assigned
MINIMUM QUALIFICATIONS:
• GIS (Geographical Information System) experience, preferred
• Time Management -- Managing one's own time and the time of others
• Customer Service Experience
• Strong Verbal Communication Skills
• Great Organizational Skills
• Advanced Computer Knowledge
