Apply today and begin your career as an Office Specialist. The Oregon Department of Agriculture, Food Safety Program currently has multiple positions available for Office Specialist 2.
What you’ll be doing
As the Office Specialist 2 (FS Support Specialist) your primary tasks will include, answering the program phone and monitor emails, respond to internal and external requests for information or documentation throughout the day, communicate in person, via phone, virtually, or via email message to initiate/determine work priorities/carry out tasks; edit correspondence and compliance documents; design/use templates/spreadsheets; use data-merge tools.
As the Office Specialist 2 you will also file and maintain the Dairy Program and Shellfish Program files, including but not limited to, reviewing Dairy and Shellfish lab certificates, lab sample reports, print request forms, entering sample results into database, and sending copies of lab certificates to firms.
The Office Specialist 2 (FS Support Specialist) is a full-time permanent position, there is NOT an option for remote or hybrid work for this position, this position follows a Monday through Friday 8 AM to 5 PM work schedule. This position is in Salem, Oregon.
The salary range for this position will be truncated as of April 1, 2024, which will impact the minimum salary for this classification. The new salary range on April 1, 2024, will be [$3,218-$4,338] monthly.

What we’re looking for:
Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents.
OR
An associate degree.
OR
Graduation from a private school of business with a certificate AND one year of general clerical experience.
REQUIRED KNOWLEDGE AND SKILLS
Skill in performing a variety of clerical functions.
Skill in communicating orally and in writing with a variety of people, answering questions and gathering and exchanging information.
Skill in organizing work efficiently and exercising independent judgment in making appropriate decisions concerning work methods.
Skill in applying specific, rules, regulations, policies, and procedures to work performed.
Additional Requirement
The candidate selected for this position will be responsible for entering licensing data into the computer in a timely manner and ensuring the accuracy of entries. It is essential this position have extensive knowledge of the computer data base and applied codes. This position is responsible for maintaining, storing, archiving, and purging paper records in accordance with the Oregon State Archives retention schedule and policies, and ensures files are maintained for retrieval. This position works closely with another OS2 staff member as their counterpart. Strong teamwork skills are a requirement for this position.

Per the Pay Equity Law passed in 2017, a pay equity analysis will be conducted to determine what pay step the successful candidate will be offered. The analysis will be based on the relevant experience, education, training, and certifications documented in the application materials. On average, candidates new to state service will most likely be offered compensation in the lower to mid-level of the salary range.
