Job Summary:
The Receptionist will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. The receptionist is expected to be highly organized, personable, and detail oriented. The Receptionist will coordinate various office tasks and functions to ensure office operations always run smoothly. Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies. The Receptionist provides the first impression to our clients and is the administrative backbone that supports our entire agency operations.
Duties/Responsibilities:
- Open and closes the office
- Ensure all supplies are fully stocked for each day and create a list of supplies needed for ordering.
- Prepare for guest appointments; greets clients, visitors, and guests to determine the purpose of each person’s visit and direct or escort him or her to the appropriate location.
- Answers, screens, and directs phone calls and faxes to staff; takes messages and schedules appointments.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Process all outgoing mail; ensuring all outgoing mail is picked up by the appropriate carrier
- Mail, Fax, or email ID cards
- Processes filing, expiration reports, renewal letters, certificates, cancellation reports, prospect reports, and deposit slips
- Process new business setup and upload several downloads or files to IMS (Ephrata office)
- Process payments from customers in office and via phone and maintain payment log
- Process changes regarding mortgages, lien holders, and banks
- Process life letter and payment reminders
- Maintains the office calendar (varies per office)
- Performs administrative and clerical support tasks including issuing birthday, anniversary, sympathy and thank you cards.
- Performs basic filing and recordkeeping.
- Performs other duties.
Required Skills/Abilities:
- Excellent verbal communication skills.
- Excellent interpersonal and customer service skills.
- Basic understanding of administrative and clerical procedures and systems.
- Strong attention to detail
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- High school diploma or equivalent required.
Physical Requirements:
- Prolonged periods of sitting at a desk.
- Must be able to lift up to 15 pounds at times.
Job Type: Full-time
Pay: $12.00 - $15.00 per hour
