We are looking to hire someone Monday - Thursday 8:30-5pm (32 Hours/Week)

POSITION SUMMARY:

The Office Manager’s primary duties are assisting our customers as well as managing the accounting and general bookkeeping of the facility.

The Office Manager must possess excellent written and verbal communication skills. He/she must possess basic clerical skills; typing, filing, bookkeeping, computer proficiency and be able to work in an environment with multiple interruptions. Knowledge of QuickBooks is preferred.

DUTIES AND RESPONSIBILITIES:

1. Professionally answer phone calls and set up appointments for customers, maintaining the highest level of customer service at all times.

2. Greet visitors that come into the showroom and assist them with product questions as well as quotes.

3. Receive and distribute mail as well as email correspondence

4. Type up quotes for potential customers and send them via email or mail

5. Take orders over the phone, collect payments, list and write up the orders.

6. Track shipments and deliveries on orders, ensuring they arrive in a timely fashion.

7. Assist our Advertising Agent with social media posts and interactions, ad creation, and lead tracking.

8. Maintain all record keeping in the office.

9. Maintain and order all office supplies and marketing material.

ACCOUNTING DUTIES AND RESPONSIBILITIES:

1. Log all sales transactions into Quickbooks and maintain accurate customer information.

2. Enter all invoices and cut checks for payment in a timely fashion.

3. Enter deposits on a daily basis into the A/R system and process the deposits.

4. Perform monthly bank reconciliations

5. Submit payroll information to our accountant for weekly payroll processing.

6. Calculate, Process and Pay monthly sales tax

PHYSICAL REQUIREMENTS:

Ability to sit for extended periods of time and lift between 20-40 pounds occasionally.

OTHER REQUIREMENTS:

1. Exceptional communication and conflict resolution skills.

2. Typing and computer skills are necessary.

3. Ability to work well on your own and also as a team member. We are a small company and the Office Manager is required to help in all facets of the business.

4. A high level of organization and efficiency.

5. Dependability is an important attribute.

Job Type: Part-time

Pay: Up to $22.00 per hour

Expected hours: 32 per week
