The Office Manager supports MedFlorida Medical Centers by ensuring good business practices are being upheld while the clinicians focus on providing exemplary health care to patients. The role of the Office Manager position is to supervise office activities, including but not limited to the reception area, mail, co-payments, workforce scheduling, patient relations, and inventory of the facility. The Office Manager is also responsible for directing and coordinating the day to day operations of their office, including developing and administering processes which will increase efficiency and maximum engagement.
Tasks & Responsibilities
A. Essential Duties
1. Manage and supervise the office staff to ensure all forms of communications remain professional, both internally and externally.
2. Supervise patient scheduling, registration, data entry and processing, and cash posting.
3. Manage and coordinate the day to day operations and overall administrative activities of the office.
4. Promoting excellent customer service by all levels of the staff.
5. Develops, implements, and maintains office policies and procedures.
6. Supervise the maintenance of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.
7. Keep an active inventory of all supplies while proactively ordering supplies when inventory is low.
8. Administers and conduct performance evaluation in a timely manner.
9. Coordinates staff meetings for administrative and clinical staff.
10. Maintains and manages all patient information is accurately entered into the EMR system.
11. Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
12. Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
13. Coordinate and implement scheduling of hospital follow up for patients within a reasonable timeframe.
14. Coordinates logistics for internal and external meetings.
15. Ensures staffing is appropriate for day to day operations.
16. Hire, train, coach and discipline staff unbiasedly.
17. Remain current with all communication from supervisors.
Education:
- High School Diploma or equivalent required.
- Bachelors’ Degree from an accredited college or university, with major in business, marketing, health care or related field preferred. A comparable amount of experience would be acceptable.
Job Type: Full-time
Pay: $19.59 - $23.59 per hour
