Job description

Office Manager for the Mayor

Mayor’s Office manager: Manages mayor’s office with one co-worker, responsible for scheduling mayor’s calendar, organizing and executing small gatherings in mayor’s conference rooms, written and verbal correspondence, usual office management, handling calls of all nature from professional to resident comments, complaints and requests. Requires professional dress code and demeanor, and ability to converse with all types of interactions from C-suite level to guests both adult and children.

Work is generally 40 hours per week, 8a-5p, with occasional after hour duties, such as attending city council meetings, that will be remunerated with overtime pay or comp time.

A professions and positive demeanor and attitude are critical, strong soft skills for handling chiefs, directors, and elected officials of all levels, in addition to the public.

GENERAL DESCRIPTION OF POSITION

This position is to manage daily office operations for the Mayor's office. This position contributes to the smooth operation of the department and affects the public image of the City.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Keep Mayor’s office informed of activities.

2. Maintain the Mayor's schedule by computer.

3. Schedule use of Mayor's conference room. Maintain meetings/functions for directors/dept. heads, council members and send notifications.

4. May greet and provide assistance to the public and other city employees; answering questions and respond to complaints.

5. Provide Administrative support to the Mayor by answering phone, typing and composing memoranda, proclamations correspondence.

6. Maintain files and confidentiality of the office, keeping in contact between attorney's offices and Mayor’s office .

7. Run copies of agenda's for Mayor’s office for Council and Public Works meetings.

8. Respond to correspondence by email and regular mail.

9. Process outgoing department mail, including bulk mailing.

10. Distribute City maps, brochures, copies of resolutions and ordinances.

11. Maintain office inventory.

12. Supervises Receptionists.

13. Operating a city vehicle is required.

14. Perform any other related duties as required or assigned.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION AND EXPERIENCE

Knowledge of a specialized field (however acquired), such as basic accounting, computer, etc. Equivalent of four years in high school, plus night, trade extension, or correspondence school specialized training, equal to two years of college, plus 3 years related experience and/or training, and 7 to 11 months related management experience, or equivalent combination of education and experience.

COMMUNICATION SKILLS


Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide numbers. Ability to perform these mathematical skills using money and other forms of measurement.

CRITICAL THINKING SKILLS

Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.

Content of the work supervised is of a non-technical nature and does not vary in complexity to any great degree.
