We are seeking an Office Manager to join our team. As an Office Manager, you will be responsible for overseeing the daily operations of our office and ensuring its smooth functioning. The ideal candidate is highly organized, detail-oriented, and possesses excellent communication and personal interactions skills
```Responsibilities```
- Answer and respond to phone calls; recieve and respond emails or other correspondence.
- Maintain the church master calendar
- Cooridnate the use of the facilities with the Building Superintendent
- Maintain and back-up records and correspondence.
- Recruit, schedule, train and oversee office volunteers
- Order office supplies as necessary within the approved budget allowance.
- Schedule routine maintenance and repairs of office equipment
- Prepare church bulletins/programs as needed.
- With the building Superintendent, maintain a list of key holders, distribute and retrieve keys as necessary.
- Prepare and distribute a church directory as needed.
- Maintain the church prayer list
- Recieve information and notify pastoral staff of deaths, hospitilations, and other emergencies of church members.
- Oversee the assembly of annual reports; assist Teaching Elder, stafff, and committeeteam leaders with reports as needed.
- Oversee the use of the copy machine
-Greet and direct visitors
- Accept and process financial gifts and paymetns as directed by financial polices
- Prepare weekly visitor lists for distribution to the Teaching Elder, the Membership Committee, Deacons, or others as needed.
- Operate office equipment according to operstaing and manual instructions, and assist others in their use when needed.
- Communicate by email and/or telephone to members, Session, Deacons, etc, as needed.
- Assist with publishing and distributing a monthly church newsletter
- Collecting outgoing US mail, and distribute incoming US mail
- ```Qualifications```
- Proven experience in office management or a similar role is a plus
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficiency in using phone systems, email platforms, and other office software
- Excellent communication skills, both verbal and written
- Ability to work independently and take initiative when necessary
- Strong attention to detail and accuracy in all work performed
- Previous experience in administrative or clerical roles is a plus
