The Luella Hannan Memorial Foundation is a Detroit-based operating foundation that provides services and programs to older adults. Located in Midtown Detroit, Hannan has served the community for over 93 years and has a solid reputation for supporting the aging community.

Responsibilities for Office Manager

  • Greet visitors and point them in the right direction, answer inquiries, and create a welcoming environment

  • Organize and maintain files and databases in a confidential manner

  • Manage communication including emails and phone calls

  • Screen phone calls, redirect calls, and take messages

  • Schedule appointments, meetings, and reservations as needed for the executive director

  • Receive deliveries; sort and distribute incoming mail

  • Maintain and order office supplies

  • Receive invoices and review for accuracy

  • Data entry into Quick Books

  • Coordinate CEO’s travel arrangements including transportation and accommodations

  • Oversee training and supervision of receptionist

  • Manage the marketing and leasing of event space

  • Hours: 8:30 – 4:30 (some overtime)

Qualifications for Office Manager

  • High school diploma or general education degree (GED) required. associate's degree in Business Administration preferred.

  • 2-3 years of clerical, secretarial, or office experience

  • Excellent communication and interpersonal skills, strong multi-tasking abilities, detail oriented, knowledge of Microsoft Office, knowledge of QuickBooks

  • Strong verbal and written communication skills

  • Excellent organizational skills. Must be able to develop and maintain corporate files (e.g., committee and board materials, minutes, other corporate documents). Able to transcribe and reduce to writing the minutes for committees and board meetings.

  • Comfortable with routinely shifting demands

  • Ability to juggle multiple tasks and finish on time

  • High degree of attention to detail

  • Data entry experience

  • Working knowledge of general office equipment

Proven ability to manage and work well with both internal customers (staff, board members) and external customers (class participants, instructors, tenants, vendors)
