Job Title:Office Manager and Assistant tothe Director of Athletics
Reporting Relationship: Director of Athletics

Summary of Position: Provide support for athletic programs and assist the Director of Athletics in the day-to-day operations of the athletic department.
Duties and Responsibilities
- Prepare correspondence, reports and other written documents for the Director of Athletics
- Act as liaison between departments, off-campus contacts, students and faculty as needed
- Prepare and process purchases, non-sport invoices, reimbursements, FFE and Capital Project requests as well as IT technology request/replacements
- Oversee all officials payment including printing payment vouchers, submitting information to procurement for new officials, payment for high school fundraising athletic events hosted at IWU, NAIA national track meet
- Oversee all Athletic Department operational, fundraising, special event and FFE budgets
- Reconcile monthly accounting and credit card reports for Director of Athletics
- Process budget requests and submit to Business Affairs in a timely manner
- Meet with budget team quarterly to go over budget expenditures
- Attend, record and maintain minutes of leadership team meetings as well as coordinate meeting time, date, locations, and setup
- Serve as hiring manager for athletic department position by submitting job description on Talent, processing candidate information for the Hire Review Committee as well as coordinating travel and schedules for interviews on campus when needed
- Organize onboarding process for new employees including process new hire paperwork and request permissions for IT access, general ledger, signing privileges and building/suite access, office preparation, credit card request, meet with new employee regarding budget
- Coordinate and maintain athletic department employment records
- Assist with maintaining schedule/calendar of events and serve as the initial point of contact for most phone, email, and personal inquiries for the Director of Athletics
- Participate as requested in committees or councils that pertain to this position
- Assist with leadership of yearly hall of honor banquet by serving on committee, taking minutes, ordering jackets and awards, setup and teardown of event space
- Other duties as assigned

Education
- Associate's degree or equivalent required
- Bachelor's degree preferred
