Job Description:
We are looking for an experienced Office Manager who will be responsible for overseeing the day-to-day operations of Alpha Men's Clinic in Oklahoma City. The ideal candidate will have a minimum of 3 years of experience in a med-spa or men’s hormone clinic setting and possess exceptional organizational, communication, and leadership skills.
Responsibilities:
- Front Desk Management: Manage all front desk activities including but not limited to greeting patients, scheduling appointments, handling inquiries via phone and email, and maintaining a welcoming and professional atmosphere in the reception area.
- Back Office Operations: Oversee administrative tasks such as managing patient records, handling insurance claims, processing payments, and ensuring compliance with relevant healthcare regulations and protocols.
- Treatment Plan Assistance: Collaborate with healthcare providers to assist in the development and implementation of treatment plans for patients. This may include coordinating appointments, providing information on services offered, and addressing patient concerns or questions.
- Social Media Management: Develop and execute social media content strategies to promote the clinic's services, engage with current and potential clients, and enhance brand visibility. This may involve creating posts, managing social media accounts, and monitoring online reviews and feedback.
- Staff Supervision: Provide leadership and guidance to administrative staff members, ensuring that they are well-trained, motivated, and aligned with the clinic's goals and policies.
- Inventory Management: Monitor inventory levels of office and medical supplies, place orders as needed, and maintain accurate records of stock.
- Quality Assurance: Implement and maintain quality assurance measures to ensure the delivery of excellent customer service and patient care.
Qualifications:
- Minimum of 3 years of experience in a med-spa or hormone clinic setting.
- Proficiency in office management software and electronic medical records systems.
- Strong interpersonal skills with the ability to communicate effectively with patients, staff, and healthcare providers.
- Demonstrated leadership abilities and a proactive approach to problem-solving.
- Knowledge of healthcare regulations and compliance standards.
- Experience in social media management and content creation is preferred.
- Bachelor's degree in healthcare administration or a related field is preferred but not required.
