The Norwalk Seaport Association is a non-profit environmental, preservation and maritime educational organization offering a wide array of special events and community projects in Norwalk, CT.
About the Role: This role is responsible for assisting the Business Manager and effectively maintaining the day-to-day operations of the office. The work schedule may be flexible to accommodate employees’ needs. The average work week will range from 35-40 hours a week.
Responsibilities
- Provide administrative assistance to Business Manager, President, and Trustees.
- Creates monthly Board Meeting and Executive Committee Meeting agendas.
- Maintain records of meeting minutes and documentation for all official meetings.
- Primary recipient of all incoming communications. Provides information and assistance to callers; directs inquiries to appropriate trustee / chairperson.
- Maintain office filing systems including files for all events, island activities, and personnel files.
- Maintain mailing lists for events, fundraisers, membership, and contributors.
- Work on a variety of fundraising projects and special events.
- Monitor / manage membership records on proprietary software systems.
- Manage and support ticketing service used for Seaport summer tour operations.
- Serve as primary customer service representative for Seaport summer tour operations.
- Coordinate schedule for private parties and events on Sheffield Island with customers.
- Maintain and coordinate the staff calendar, daily activities, and events at Sheffield Island.
- Assist with payroll processing and employee timekeeping.
- Maintain ridership records and reports.
Qualifications
- 2-3 years of prior administrative or office management experience
- Strong communication and customer service skills
- Effective interpersonal skills: ability to work with customers, vendors, trustees & summer staff
- Ability to work independently.
- Outstanding organizational and time management skills
- Proficient in Word, Excel, Publisher, Gmail, and Google Calendar
Compensation: $30.00 / / hour, overtime eligible.
