JOB SUMMARY:
We are seeking an experienced and highly organized Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the daily operations of our office and ensuring smooth and efficient workflow. You will play a crucial role in managing administrative tasks, coordinating office activities, providing support to the Operations Manager and serve on the management team. The ideal candidate will have excellent organizational and communication skills, as well as strong leadership abilities.
JOB DUTIES/RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO:
•Assigns and regulates Administrative Assistant’s functions
•Overseeing receivables and payables
•Maintains company payrolls, following state and federal guidelines
•Garnishments, tax liabilities, and employee benefit deductions
•Submitting on-time payment for Company loans
•Prepare and file tax forms with federal, state, and local government agencies
•Provide and maintain W-2s and 1099s
•Train and orient the new employees about the office policies, procedures, and equipment
•Designs filing systems and ensures that these systems are up to date
•Record keeping/Maintaining company databases
•Holds meetings with the senior management to review performance of the company and the staff
•Delivers reports and presentations regarding the finances and the working of the office to the senior management
•Involved in the meetings that the management conducts about the organization's policies and the steps that it plans to take for its strategic development
•Maintains quarterly/annual reports for Company accountant
•Ensuring that there is adequate and operational office supplies and equipment
•Handling customer complaints and inquiries
•Oversees the daily work activities of the office
•Maintains general ledger
•Reconcile bank account monthly and address any inquiries from banks
•Understanding of the Quality Management System and the ability to apply it in daily performance
QUALIFICATIONS:
- Proven experience as an Office Manager or similar role
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in using various office software applications (e.g., Microsoft Office Suite)
- Experience in team management and supervision
- Knowledge of phone systems and other office equipment
- Ability to maintain confidentiality of sensitive information
- Exceptional attention to detail and accuracy
