Position Overview:
We are seeking a highly organized and proactive Office Manager to join our team. As the Office Manager, you will play a crucial role in ensuring the smooth and efficient operation of our office, supporting both our in-person and remote workforce. This position offers the opportunity to be part of a collaborative team and contribute to the success and growth of our firm.
Responsibilities:
- Oversee day-to-day office operations and ensure a professional and welcoming environment for clients, visitors, and staff.
- Manage office facilities, including coordinating maintenance, repairs, and supplies procurement.
- Handle invoice tracking and create monthly invoice reports, ensuring accuracy and timely processing.
- Generate lead reports and assist in tracking client leads for the legal team.
- Implement and maintain office policies and procedures to streamline processes and enhance efficiency.
- Supervise administrative staff, providing guidance, training, and support as needed.
- Serve as the primary point of contact for internal and external inquiries, routing communications appropriately.
- Coordinate scheduling and logistics for meetings, appointments, and events, both in-person and virtual.
- Assist with HR functions such as onboarding new employees, managing employee records, and facilitating performance evaluations.
- Assist with budgeting and financial management
- Ensure compliance with all applicable laws and regulations
- Handle confidential information with discretion and professionalism.
- Collaborate with senior management to identify areas for improvement and implement solutions to enhance office productivity and effectiveness.
- Support special projects and initiatives as assigned by senior leadership.
Qualifications:
- Associate's degree or higher in business administration, human resources, or a related field preferred.
- Proven experience in office management or a similar role, preferably in a legal or professional services setting.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office Suite, G-Suite, Adobe, and other relevant software applications.
- Experience with virtual meeting platforms and remote collaboration tools.
- Familiarity with basic HR functions and employment laws.
- Demonstrated leadership abilities with a proactive and solution-oriented approach.
- High level of discretion and integrity when handling sensitive information.
- Ability to adapt to changing priorities and work independently with minimal supervision.
- Flexibility to work in a hybrid office environment, both onsite and remotely, as needed.

Pay: $19.00 - $25.00 per hour
