Job Description
Background and Principal Responsibilities:
- Maintain and enhance the positive reputation of Digestive and Liver Center of Florida, Endo-Surgical Centers of Florida, and associated ancillary business units.
- Manage Digestive and Liver Center of Florida’s Dean Road and Colonial practice locations.
- Administer administrative duties managing the Radiology of Florida center at the Dean Road location.
- Recruit, vet, and onboard new staff.
- Maintain appropriate staffing to match practice volume.
- Assist patients and staff for smooth workflow, promoting a Patient First culture.
- Ensure a positive working relationship with physicians.
- Ensure physician clinic schedules are full for the Dean Road, Colorectal Surgery, and Colonial locations.
- Manage the Radiology of Florida staff.
- Ensure schedules are full and meet requirements of the practice and GI Urgent Care of Florida.
- Identify IT and technical issues for resolution by eClinicalWorks, Spectrum, or other system sources.
- Ensure compliance requirements for DLCF are maintained or improved.
- Manage daily clinic operations, including patient care and call management.
- Reschedule patients as necessary.
- Handle patient issue escalation.
- Handle referrals from PCPs.
- Timely response to clinician needs.
- Provide monthly reporting of key metrics and performance indicators.
- Report to the Practice Administrator, COO, Dr. Seela, and Dr. Sheela.
- Alert the Practice Administrator and COO to issues requiring resolution.
- Work collegially with physicians and staff to drive and discuss improvements to workflow.
Reporting Structure: The Office Manager reports to the Practice Administrator, COO, and Senior Partners.
Other Position Components:
- Become knowledgeable of conditions treated by Digestive and Liver Center physicians.
- Familiarize with procedures performed by both GIs and colorectal surgeons.
- Learn medical terminology commonly used.
- Read all patient brochures.
- Watch educational videos on the website and available at the clinic in the exam rooms.
- Shadow administrators and discuss with the physician team to understand workflow and capabilities of the practice and surgery centers.
- Objective is to educate oneself about the conditions treated and services provided.
