STATUS:Full time, hourly with benefits
PURPOSE OF POSITION:
Assist clergy and program directors with administrative work in alignment with values, mission, vision, and core practices.
Coordinating Receptionist:
- Hire, train, supervise and support reception and office assistants
- Schedule support staff and volunteers
Support:
- Manage appointment calendars/schedules for clergy, redirecting appointments that can be appropriately handled by other staff
- Review and prioritize calls for clergy and directors, and manage correspondence for clergy as directed
- Assist with meeting preparations and event planning
- Prepare agendas and minutes for Weekly Huddle meetings and all Staff meetings
- Organize and oversee bulk mailings with the staff person generating the mailing
Administrative:
- Assist with creating annual budgets for office expenses and manage the budget for office supplies, equipment, and office staffing
- Manage the software applications of the phone and voicemail system and Google Groups
- Oversee printing of Sunday worship documents including: Scripts, bulletins, welcome sheets, etc.
- Create process and oversee maintaining records of all minutes for administrative committees (except Staff Parish Relations)
Data Management:
- Develop and oversee processes for membership database
- Maintain data records ensuring they are accurate, complete and accessible
- Record Sunday attendance and produce visitors reports
Skills and requirements:
- Bachelor’s degree preferred with 3-5 years of experience as senior level administrative assistant, or 5+ years of senior level administrative assistant experience
- Strong written and verbal communication skills including excellent phone skills
- Warm, personable and able to welcome guests with radical hospitality
- Highly organized and self-motivated and able to work with a team
- Ability to create, document and manage projects from conception to solution on time and within budget
- Ability to create systems that increase efficiency and productivity while reducing costs
- Ability to manage staff and operational activity in a calm and effective manner, maintaining confidentiality and discretion
- Demonstrated proficiency with Microsoft Office and Google Suites
- Experience using and managing a database, church management databases ACS or Realm a plus
- Ability to lift 25 pounds
