Duties and Responsibilities:
General:
- Performs clerical duties, maintain files, and organize documents.
- Monitors front desk and complies with all security procedures for visitors.
- Creates and manages orders, track, and invoice office supplies as needed.
- Accurately notes all staff and client information according to confidentiality standards and HIPAA requirements.
- Ensures compliance with HIPAA as well as internal policies.
- Assists with all aspects of the service delivery and internal operations.
- Copies and scans documents.
- Updates client and staff information and electronic records.
- Distribute forms and paperwork to clients and staff and check them over to ensure that required fields are completed properly.
Communication Duties:
- Greets office visitors and makes them feel welcome.
- Routes calls to the appropriate department or individual.
- Documents phone calls and responds to emails.
Scheduling Duties:
- Answers client calls, field questions, schedules, and assists clients and caregivers with appointments.
- Ensure there are no scheduling conflicts and if any arise resolves them.
- Keeps clients and field staff updated on their schedules.
- Obtains prior authorizations for scheduled procedures.
- Ensure there are no scheduling conflicts.
- Maintains schedules in the database up to date.
- Change or cancel appointments, as necessary.
- Client home visits as needed.
Staff Support:
- Provides training in office procedures to field staff.
- Welcomes and provides information to new and prospective employees.
- Assists and facilitates in the hiring process.
- Makes travel arrangements for staff as needed.
- Maintains and coordinates staff schedules.
- Assists and supports field staff as needed.
Required Skills and Qualifications:
- Eligible to work in the USA.
- Minimum of High School Diploma or GED.
- Minimum of two years administrative support experience.
- Experience in Microsoft Office (Excel, Word, and Outlook)
- Strong organization skills, attention to detail and ability to work in a busy office environment.
- Must be able to handle multiple/competing priorities.
- Bilingual - Spanish is a plus or ability to use a translation app.
- Valid Driver’s license.
- Must pass pre-employment background screening.
Compensation:
$18 - $25 per hour

Hours of Work:
- 9am to 5pm
- On Call hours on rotation basis.
